About the Role
The Trainer Deployment & Coordinator plays a key role in ensuring the smooth planning, coordination, and execution of training programmes. This role oversees trainer deployment strategies, scheduling, and operational readiness, while working closely with a Scheduling & Operations assistant who supports day-to-day execution.
Responsibilities
1. Trainer Deployment & Scheduling
- Plan and assign trainers to programmes based on availability, skillsets, and requirements
- Oversee and optimise trainer deployment across multiple programmes and locations
- Work closely with the Scheduling Assistant on the deployment
- Manage last-minute changes, replacements, and contingency planning
2. Programme Setup & Coordination
- Ensure all necessary details, resources, and relevant work chats are created before programme commencement
- Work with the scheduler assistant to track the readiness of each programme
- Ensure smooth and timely start of all programmes
- Liaise with internal teams and external partners to align operational requirements
3. Operations & Execution
- Act as the main point of contact for trainers & clients on deployment matters
- Provide oversight on day-to-day operations, ensuring schedules are executed accurately
- Ensure trainers adhere to schedules, reporting requirements, and company standards
- Ensure data has been updated on live sheet promptly
4. Feedback & Continuous Improvement
- Collect on-ground feedback from clients, partners, and trainers
- Review feedback gathered and update during internal team meetings
- Recommend improvements to deployment planning and programme execution
- Work with internal teams to enhance trainer performance and programme delivery
5. Administrative & Reporting
- Maintain oversight of trainer assignment records and scheduling accuracy
- Review and validate schedules and reports together with the Scheduling Assistant
- Report mainly to the HOD directly
Requirements
- Strong organisational and coordination skills.
- Good time management and ability to handle multiple tasks.
- Close attention to detail and accuracy in data entry.
- Proactive problem-solving, especially in urgent or last-minute scheduling situations.
- Good communication skills and a collaborative team player.
- Proficiency in Excel and basic document management.
- Experience with a scheduling system is an advantage.
- Diploma or Degree in a relevant field is preferred, but not required.
