Commodity Trade Documentation Executive

Job Summary

The Commodity Trade Documentation Executive is responsible for managing and overseeing the preparation, execution, and compliance of all documentation related to commodity trading activities. This role ensures that all trade-related documents are accurate, complete, and adhere to international trade regulations, company policies, and contractual obligations. The executive collaborates with internal teams, external stakeholders, and regulatory bodies to facilitate seamless trade operations.

Key Responsibilities

  • Documentation Management: Prepare, review, and process trade documents such as bills of lading, letters of credit, invoices, contracts, certificates of origin, and quality certificates.
  • Regulatory Compliance: Ensure all documentation complies with international trade regulations, customs requirements, and sanctions laws (e.g., Incoterms, UCP 600, and local trade policies).
  • Coordination: Liaise with traders, shipping companies, banks, customs authorities, and other stakeholders to ensure timely submission and approval of documents.
  • Risk Mitigation: Identify and resolve discrepancies in documentation to prevent delays, penalties, or trade disputes.
  • Record Keeping: Maintain accurate and organized records of all trade transactions and documentation for audit and reporting purposes.
  • Process Optimization: Streamline documentation processes to improve efficiency and reduce errors, leveraging digital tools and trade platforms where applicable.
  • Communication: Provide clear and timely updates to internal teams and external partners on documentation status and requirements.
  • Market Awareness: Stay updated on changes in trade regulations, documentation standards, and industry best practices.

Qualifications

  • Education: Bachelor's degree in International Trade, Business Administration, Supply Chain Management, or a related field.
  • Experience: 2-4 years of experience in commodity trading, trade finance, or logistics documentation.
  • Skills:
    Strong knowledge of international trade documentation and processes (e.g., letters of credit, bills of lading).
    Familiarity with trade compliance regulations and standards.
    Excellent attention to detail and organizational skills.
    Proficiency in trade management software (Tradetrust.io or similar platforms).
    Strong communication and interpersonal skills for stakeholder coordination.
    Ability to work under pressure and meet tight deadlines.
  • Certifications: Certifications such as Certified Documentary Credit Specialist (CDCS) or similar are a plus.
  • Languages: Proficiency in English is required additional languages (e.g., Mandarin, English) are an advantage.

Working Conditions

  • Location: Office/ Hybrid work arrangements.
  • Travel: Occasional overseas travel may be required for meetings with clients, suppliers, or regulatory bodies.
  • Hours: Full-time/ part time, with flexibility to accommodate global time zones for international trade operations.
