Primary Purpose of this Position
To oversee the whole process of customer order fulfilment, including: co-ordinating with the rest of the operations team to meet customers delivery requirements, timely order acknowledgement, managing the shipping and delivery process, inventory management and store organisation, and handling all communications with customers and suppliers. Maintenance of accurate operational data and the generation of clear and meaningful business reports (for example sales, inventory etc).

Main responsibilities and duties:
Customers Order Fulfilment
- Provide quotations and pre-sales information to customers.
- Adding and editing of new and existing customers details accounts in ERP system.
- Process customers purchase orders including determination of planned shipping date and prices.
- Send order acknowledgements to the customers.
- Inform customers of delivery delays and resolve issues with the team to provide delivery recovery plans to customers.
- Handle customer communications regarding warranty returns, repairs, and calibrations.
- Arrange outgoing shipments of customers orders, including packaging of the shipments.
Materials and Capacity Planning
- Review materials and capacity schedules for orders.
- Generate production and purchase orders to production personnel and suppliers for customers orders.
Inventory Management
- Receiving and inspecting incoming materials from suppliers.
- Kitting of materials to production orders and issuing materials to requesters.
- Handling and documenting inventory transactions, including deliveries, returns, and adjustments.
- Stock tracking and transactions.
- Classifying and identifying parts not required and organising them accordingly to optimise storage space.
- Cycle counting and stock takes.
- Keeping the store clean, tidy, and well-organised.
Shipping
- Managing couriers and other freight services for inbound and outbound shipments.
- Documentation for shipping including import and export customs documentations
Data collection and analysis
- Collecting, consolidating and analysing sales data including forecasts, actual sales, and forecast accuracy
- Collecting, consolidating and analysing business data (Key Performance Indicators) such as on-time delivery, inventory levels, repair times etc.
- Creation of meaningful summary reports for management
Continuous improvement
- Seeking to identify weaknesses in existing business processes and to suggest improvements.
- Implementing improvements
Others
- Ensure that all business activity is conducted in line with company values, policies and codes of conduct.
- Undertake any other activity as reasonably requested by management.
Requirements:
- Minimum Diploma in Supply Chain/Manufacturing/Production/Engineering at least 1 - 3 years of relevant working experience.
- Good communications skills including verbal and written English (all company documentation and computer systems are in English).
- Familiarity with Microsoft Office tools (in particular Excel) is required.
- Ability to work autonomously with minimal supervision.
- Experience in a manufacturing company would be beneficial.
- Experience in supply chain operations would be beneficial.
- Experience with ERP systems (for example SAP, Oracle, Microsoft Dynamics, IFS) would be very beneficial.
