Duties & Responsibilities
- Address and follow up on customer inquiries and requests.
- Handle Request for Quotation (RFQ) responses and coordinate with the Operations Department.
- Generate Job Orders and ensure their prompt execution.
- Monitor order and delivery schedules, coordinating with vendors, the Operations Department, customers, and international suppliers to ensure on-time delivery.
- Compile daily, weekly, and monthly shipment/order reports for customers and management.
- Ensure accurate and timely invoicing to customers.
- Validate vendor invoices for precise billing to HPL.
- Plan and generate stuffing lists for the Operations department for each shipment.
- Prepare import/export shipping documents.
- Process import/export customs clearance documents.
- Conduct physical cargo inspections as needed.
- Input and update order delivery statuses promptly and accurately in the customer's in-house system (SAP).
- Investigate and address service failures or complaints, implementing corrective and preventive actions.
- Build customer relationships and manage customers expectations through regular correspondence exchange.
- Involve in ad-hoc duties and projects as and when required to broaden scope and exposure.
- Assume the responsibilities of the designated buddy when necessary.
- Commit to and adhere to the HPL Occupational Health & Safety Management System.
- Commit to and comply with the HPL Quality Management System.
- Undertake any additional tasks as assigned by the supervisor.
Person Specifications
- GCE A level and above
- Minimum 2 years of freight forwarding experience
- Proficient in SAP and Microsoft Office applications
- Possess good communication skills and interpersonal skills and able to relate well in English.
