Job Description

Key Responsibilities

  • Oversee daily administrative operations and ensure efficient office management
  • Supervise and lead administrative staff to maintain high performance standards
  • Manage office budgets, procurement processes, and vendor relationships
  • Coordinate logistics activities, including shipment tracking and supplier liaison
  • Prepare and review business correspondence such as reports, emails, and official letters
  • Maintain proper documentation, records, and compliance with company policies
  • Support and administer HR processes and policies, including:

- Employee onboarding and offboarding

- Leave management and attendance tracking

- Maintaining employee records and documentation

- Assisting in policy implementation and compliance

  • Support cross-functional teams, including project and operations departments

Requirements

Educational Qualifications

  • Diploma in Business Administration & Management or equivalent
  • Bachelor's degree in business administration, Management, or a related field
  • Relevant certifications are an advantage

Work Experience

  • Minimum 1-3 years of experience in administration or office management
  • Proven experience in team supervision and office operations
  • Experience in procurement, vendor management, logistics coordination, and HR administration preferred

  • Strong organizational and multitasking abilities
  • Excellent communication skills, both written and verbal
  • Proficiency in business letter-writing and formal correspondence
  • Leadership, problem-solving, and decision-making capabilities
  • High attention to detail and accuracy

Technical Competencies

  • Proficient in Microsoft Office (Excel, Word, etc.)
  • Familiarity with ERP or administrative systems
  • Basic knowledge of reporting and data management tools

Knowledge Requirements

  • Solid understanding of office administration practices
  • Basic financial knowledge (budgeting and cost control)
  • Strong understanding of HR processes and policies
  • Knowledge of logistics operations, including:

- Supply chain and procurement processes

- Supplier and freight forwarder coordination

- Shipping documentation (invoices, packing lists, delivery orders)

- Shipment tracking and delivery coordination

  • Awareness of compliance and regulatory requirements
