XCL World Academy is seeking to recruit a HR Executive who will be a critical team player and is responsible for supporting the day-to-day operations of the HR department in the school.
Main Responsibilities
Recruitment
- Lead admin recruitment, writing effective job descriptions, management of job portal and downloading or profiles from various portals for hiring managers.
- Key liaison person with recruitment agents.
- Provide excellent support for hiring managers in end-to-end recruitment process.
- Support and coordinate orientation and induction pre-onboarding communications with candidates.
- Support the work pass process non-local employees.
- Support academic recruitment, liaising with HOS and Principals on job descriptions, management of overseas portals and updating of School information annually.
- Posting of roles in various portals and engagement with overseas recruitment agencies and vendors.
- Supporting the career fairs registration and preparations.
- Knowledge in COMPASS and MOM processes to support Principals on EP/SP eligibility criteria for candidates.
- Prepare Job offers proposals according to internal Teaching scales, accuracy in calculation of experiences and should be able to provide quick turnaround time in extending offers to teachers.
- Provide excellent pre-onboarding service to relocating Teachers and families via virtual calls, emails for a smooth transition to Singapore and positive experiences to support with Flights, Shipping processes.
Onboarding & Offboarding
- Lead on-boarding arrangements and paperwork (e.g. update of inductions slides, creation of p-files)
- Maintains and update employee data in master sheet, files and records with high level of accuracy.
- Lead new employee's Insurance enrolment and departing employee's insurance termination
- Creation and deletion and account set up of various HR systems.
- Preparation of Acceptance of Resignation Letters for offboarding processes and support pass cancelation processes.
- Conducting of Exit interview for Admin/Teaching Partners.
- To perform other job-related and administrative duties as reasonably requested.
Annual Operational Support & Ongoing Administration Support
- Support timely Tax submissions for all staff accurately.
- Support Work Pass renewals for all staff according to pass expirations.
- Support preparation of documents for all regulatory Audit processes.
- Lead Consolidation of Trainings attended by Department for Regulatory reporting purposes (Eg : CIS, Edutrust).
- Support with ad-hoc staff training request.
- Support the Teachers and Teacher Partners, Renewal of Contract preparation processes, consisting of form creations, tracking of submissions, reporting and contract generations within a quick turnaround.
- Lead Submission of Government Paid leaves
- Provide staff data generation support for departments
- Support annual registration and movement updates of Teachers with regulator CPE
- Lead Annual renewal of Relief Teacher/Teacher Partner Contracts.
- Support HR Events and coordination processes.
- To perform other job-related and administrative duties as reasonably requested.
Employee Relation & Performance Management Cycle
- Address employee queries and concerns professionally and handle conversations with professionally and confidentially.
- Promote a positive work environment and employee engagement.
- Assist in performance appraisal cycle with employee queries on goal setting and performance management system.
Position Requirement:
- A diploma / bachelor's degree in Human Resource Management / Business Administration.
- Minimum 3 years of experience in HR or in a similar role in a school environment.
- Excellent Interpersonal skills, outstanding communication skills (spoken and written)
- Able to handle high level of confidentiality
- Experience and comfortable working with Microsoft
- Ability to work both independently and as part of the team
- Administrative expert and detail oriented
- Meticulous and resourceful individual
- Familiarity with Employment Act, MOM practices, IRAS, CPF regulations
- Excellent time management skills to be able to work in a fast-paced environment with competing priorities
- Has high command in Technology to trouble shoot system to support staff queries
- Culture awareness, social skills and high-level emotional intelligence to communicate well in complex situations.
