The Role
Senior Executive (IT Systems & Operations)
The Executive, IT Administration & Support provides administrative and operational support to the IT Systems & Operations department, with a focus on IT procurement, software license management, and end‑user support coordination. The role ensures disciplined record‑keeping, smooth vendor coordination, and timely follow‑through on day‑to‑day IT administrative matters, contributing to compliance, cost discipline, and service reliability.
Key Responsibilities
IT Procurement & Vendor Coordination
- Coordinate the end‑to‑end IT procurement process, including preparing purchase requests, raising purchase orders, obtaining quotations, and tracking deliveries.
- Liaise with vendors on quotations, contract terms, renewals, warranties, and service deliverables.
- Maintain accurate procurement records, approval documentation, and vendor master data to ensure audit readiness.
- Support contract administration, including filing, renewal tracking, and follow‑up on signed agreements.
- Track IT department expenditure against budget and prepare basic spend and procurement status reports.
Software License & IT Asset Management
- Maintain a centralised inventory of software licenses, subscriptions, and entitlements, including assignment, expiry, and renewal dates.
- Monitor license usage, coordinate timely renewals, and flag under‑ or over‑utilisation for review.
- Support compliance with license agreements and respond to vendor and internal audit requests.
- Maintain records of IT assets (laptops, peripherals, mobile devices), covering provisioning, returns, and disposal.
- Assist in periodic license and asset reconciliation exercises and prepare reports for management review.
IT Administration & User Support Coordination
- Provide first‑line administrative support for user requests relating to accounts, software access, devices, and standard IT services.
- Coordinate device provisioning, refresh, and return activities with vendors and end users.
- Maintain SOPs, knowledge articles, and process documentation for routine IT administrative tasks.
- Support meeting scheduling, agenda preparation, minutes‑taking, and action tracking for the IT department.
- Prepare service performance summaries, ticket statistics, and operational reports for management review.
Requirements
- Diploma in Information Technology, Business Administration, or related discipline.
- 2–5 years of relevant experience in IT administration, procurement support, or service desk coordination.
- Working knowledge of IT procurement processes, vendor coordination, and software license management.
- Familiarity with end‑user computing environments and Microsoft 365 services is advantageous.
- Strong documentation discipline, attention to detail, and ability to manage multiple concurrent tasks.
- Proficient in Microsoft Excel, Word, and Outlook.
