Location : Stars Ave

Position :Senior Executive 1, HRBP/TA
Division: HR Business Partnership / Talent Acquisition / HR Division

Contract Duration: 12 months

Working Hours

Mon - Thurs : 8:30am - 6:00pm

Friday : 8:30am - 5:30pm

(inclusive of 1-hour lunch break)

Salary: S$2,853 - S$3,780 per month depending on qualification and relevant working experience

About the Role:
The hiring team is seeking a detail-oriented and proactive HR professional to support HR Business Partnership (HRBP), Talent Acquisition (TA), and internship administration, while ensuring accurate management of HR datasets and records.

Primary Responsibilities:

1. HR Business Partnership Admin

  • Manage physical personnel files (Pfiles) of HTX employees for easy retrieval.
  • Update electronic Pfiles of HTX employees.
  • Maintain incoming electronic personal documents in Sharepoint/eRegistry.
  • Upload employees photos into the HR system.
  • Update tracking lists.
  • Provide support for HR Business Partnership matters as assigned.

2. Management of Datasets and Records

  • Conduct thorough reviews of datasets and records across HR systems to identify data quality issues including missing data, inconsistencies, duplicates, and errors.
  • Verify and correct data where necessary obtain further information both offline and online for incomplete documents.
  • Perform data entry into relevant systems of rectified data after verification.
  • Collaborate with various teams to understand data requirements and implement cleaning methodologies.
  • Perform regular quality checks on cleaned data to ensure accuracy and completeness.

3. Recruitment Admin

  • Support the TA team throughout the recruitment lifecycle.
  • Schedule and coordinate assessments/interviews, including booking rooms.
  • Assist with onboarding, including pre-employment checks, updating new hire records in the HR system, and handling administrative tasks.
  • Maintain accurate and up-to-date candidate records in the applicant tracking system.
  • Manage new hire onboarding to ensure a smooth transition.
  • Submit visitor clearance for new hires first-day reporting.
  • Provide other recruitment-related administrative support as assigned.

Secondary Responsibilities:

4. Internship Admin

  • Follow up with selected internship applicants on document submission and preferred internship period.
  • Create and upload documents in interns profile folders in Sharepoint.
  • Maintain accurate and up-to-date internship data in master list (database).
  • Send internship agreements and confirm internship details with applicants.
  • Follow up with supervisors on onboarding requirements for incoming interns.
  • Submit interns onboarding requests via MS Lists, including amendments.
  • Submit visitor clearance for interns first-day reporting.
  • Send onboarding instructions to interns and supervisors.
  • Raise SRs to VITAL for creation/adjustment of HRPS records.
  • Send offboarding list and instructions track issuance of testimonials and supervisor assessments.
  • Provide other internship-related administrative support as assigned.

Requirements:

  • Diploma holder, preferably in HR Management non-diploma holders with relevant HR experience may be considered.
  • Proficient in full Microsoft Office Suite, especially advanced Excel functions.
  • At least 3 years relevant HR experience, preferably in HRBP admin, recruitment admin, internship, and data management in government agencies.
  • Proficiency/experience in RPA and data analytics tools such as Microsoft Power BI and Tableau is advantageous.
  • Excellent verbal and written communication skills able to interact effectively with multiple stakeholders.
  • Strong problem-solving skills able to manage multiple tasks simultaneously.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Good team player with strong interpersonal skills.
  • Detail-oriented with high accuracy meticulous attention to detail and quality control.
  • Able to work independently and collaboratively in a fast-paced environment.
