Conservancy Operations & Vendor Administration
- Monitor and track vendors daily operational submissions (work schedules, checklists, service reports).
- Review and verify vendors monthly performance reports against contractual requirements.
- Conduct regular and ad-hoc site walkabouts and document observations for Manager's review.
- Follow up with vendors on rectification of service lapses and non-compliances.
- Check supporting evidence for completed works and identify any non-performance or discrepancies.
- Prepare service lapse and deduction summaries for Manager's endorsement.
- Maintain proper records of completed maintenance and conservancy activities.
Site Inspection & Work Supervision
- Carry out scheduled and ad-hoc site inspections to monitor cleanliness, maintenance conditions, and work quality.
- Supervise on-site conservancy works to ensure adherence to approved scope, service standards, and safety requirements.
- Highlight defects, safety issues, or non-compliances and escalate where necessary.
Feedback & Complaint Management
- Receive, coordinate, and follow up on feedback, complaints, and service requests related to conservancy matters.
- Liaise with vendors and stakeholders to ensure timely resolution of issues.
- Track feedback status and update Manager on progress and closure.
Ad-hoc, Emergency & Operational Support
- Assist in managing ad-hoc tasks, urgent works, and emergency situations affecting conservancy operations.
- Support Manager in ensuring service continuity during unforeseen events.
- Prepare incident summaries and follow-up actions as required
Documentation, Reporting & Administrative Support
- Maintain accurate records, reports, and correspondence related to conservancy operations.
- Assist in preparation of operational summaries, reports, and data for management review.
- Support tender and contract administration tasks when required.
The Requirements
- Minimum GCE O Level with formal qualifications in Facilities, Building or Estate Management will be advantages.
- Minimum 8 years of relevant experience in conservancy, facilities, estate, or site-based operations such as site inspection, on-ground supervision, vendor coordination, follow-up works and monitoring of service delivery and rectification of issues.
