Job Scope:
Primary Role
1. Internship
- Follow-up with selected internship applicants on submission of additional documents/information and confirm their preferred internship period.
- Create and upload documents/information in interns profile folder in SharePoint.
- Maintain accurate and up-to-date internship data/information in the interns master list (database).
- Send Internship Agreements to applicants and confirm their internship.
- Follow-up with Functions/interns supervisor on onboarding requirements for incoming interns.
- Submit interns onboarding requests via MS Lists (including amendments, if any).
- Submit visitor clearance for incoming interns 1st day reporting.
- Send onboarding instructions to incoming interns and their supervisor.
- Raise SRs to VITAL for the creation of HRPS record for new interns and shortening/extension of internship.
- Send offboarding list to HTX-PASS team and offboarding instructions to interns and their supervisor.
- Track the issuance of interns testimonial and assessment by supervisors.
- Provide other administrative support related to internship as assigned.
2. Recruitment Admin
- Support the Talent Acquisition (TA) team throughout the entire recruitment lifecycle.
- Schedule and coordinate assessments/interviews between candidates and hiring managers (including booking of rooms).
- Assist with the onboarding process, including coordinating pre-employment checks, update new hires records in the HR system, and handling other administrative tasks.
- Maintain accurate and up-to-date candidate records and update the applicant tracking system with candidate information and recruitment activity.
- Manage the onboarding process for new hires, ensuring a smooth transition and positive experience.
- Submit visitor clearance for new hires 1st day reporting.
- Provide other administrative support related to recruitment as assigned.
3. Management of Datasets and Records
- Conduct thorough reviews of datasets and records across various HR systems and data sources to identify data quality issues including missing data, inconsistencies, duplicates, and errors.
- Verify and correct data where necessary and obtain further information, both offline and online, for incomplete documents.
- Perform data entry into relevant systems of rectified data after verification.
- Collaborate with various teams to understand data requirements and implement appropriate cleaning methodologies.
- Perform regular quality checks on cleaned data to ensure accuracy and completeness.
4. Career Fairs/Outreach Activities
- Pack and distribute items/collaterals and banners to TAs/HRBPs deployed for career fairs/outreach activities.
- Ensure sufficient stock of collaterals.
Secondary Role
1. Covering Officer for HR Business Partnership Admin
- Manage physical P-files of employees for easy retrieval.
- Update electronic P-files of employees.
- Maintain incoming electronic personal documents in SharePoint/eRegistry.
- Upload of employees photo in the HR system.
- Updating tracking lists.
- Provide support related to HR Business Partnership matters as assigned.
Requirements:
- Diploma holder, preferably in HR Management. Non-diploma holders with relevant HR experience may be considered.
- Proficient in full Microsoft Office Suite, especially advanced Excel functions.
- At least 3 years relevant HR experience, preferably in HR Business Partnership admin, recruitment admin, internship and data management in Government agencies.
- Proficient/Experience in RPA and data analytics software such as Microsoft Power BI and Tableau would be an added advantage.
- Excellent verbal and written communication skills ability to interact effectively with multiple stakeholders.
- Strong problem-solving skills with the ability to manage multiple tasks at any one time.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Good team player with strong interpersonal skills.
- Detail-oriented with a high level of accuracy in work meticulous attention to details and quality control.
- Ability to work independently and as part of a team in a fast-paced environment.
