RESPONSIBILITIES
- This position is for Office of Campus Infrastructure and Services.
- Provide general administrative support.
- Manage the end-to-end invoicing process including but not limited receipt, verification, uploading, internal approvals, and consolidation.
- Record goods receipt in the SAP system.
- Liaise with the Finance team in submitting tax invoices to Finance and resolving issues related to invoices, payments, goods receipts (GR), etc.
- Assist in maintaining accurate filing and record-keeping for purchase requests, contracts, invoices, etc.
- Support in the preparation, coordination, and documentation required for the SAP system transition.
- Maintain and manage the administration of the registers for banker guarantees, insurances, term contracts, and related documentation.
- Prepare and organize reports, presentations, and administrative documents as required.
- Handle day-to-day clerical tasks including data entry, filing, and document management.
- Assist with walk-in enquiries and couriers, SMU main hotline, SMU enquiry mailbox, SMU Admin Building event updates, and the Level 1 Admin Building display screen's downtime during the receptionist's absence.
- Perform any other administrative duties assigned by supervisor to support smooth workflow and timely delivery of tasks.
QUALIFICATIONS- Minimum Diploma level qualification in Business Administration, Finance / Accounting or a related field.
- 2 to 3 years of relevant working experience in procurement, purchasing, or in a similar role preferred.
- Candidates without prior experience are welcome to apply, provided they demonstrate strong interest and aptitude in procurement and administrative functions.
- Basic understanding of procurement processes and principles, contract administration, and accounting fundamentals are an advantage.
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook) experience with procurement or ERP systems (e.g., SAP, Oracle) will be an added advantage.
- Strong organizational, analytical, and problem-solving skills, with the ability to multitask and prioritize effectively.
- Excellent communication skills (both written and verbal), with the ability to work collaboratively across teams.
- Adaptable, proactive, and able to work independently in a fast-paced and dynamic environment.
- Detail-oriented, responsible, and demonstrates a positive attitude with strong initiative.
- Additional skills in accounting, data analysis, or AI/digital tools will be an advantage.
- Availability to commence work immediately or within short notice is preferred.
