Secretary, Customer Service
Reports to: SVP, Head, Customer Service
Role Summary:
This role provides secretarial support to the HOD and supporting the operations of the department to ensure smooth daily operation.
Job Responsibilities:
- Provide secretarial support to HOD, schedule and coordinate meetings and calendar management and maintain minutes of meeting if required
- Assist in budgeting, maintain and monitor expenses
- Provide administrative support in terms of payment processing, filing, upkeeping of records, requisitions etc
- Provide operational support in setting up and closing down of site offices, and admin support as and when required onsite.
- Manage department's warehouse needs and cost
- Assist in preparation of reports, presentations and communication/publicity posters
- Provide logistics support to ensure stakeholder events are implemented successfully.
- Support HOD in organizing and coordinating City Sunshine Club (CSC), CDL's volunteering events and activities.
- Maintain all CSC records and ensure accuracy of information for reporting
- Represent department for company-wide initiatives (EHS, fire warden/safety officer, StaffConnect, Sustainability sub-com, etc)
- Assist in ad hoc projects/matters as and when required.
Job Requirements:
- Private Secretarial Certificate
- Diploma in Administration/Management
- Min 3 years secretarial experience in Customer Service
- Good writing skills
- Good organising skills
- People skills
- A good team player
- IT savvy and competent in Microsoft (Word, Excel, PowerPoint), Canva, Adobe, etc.
