Job Description

HIRING: SALES SUPPORT ADMIN

Company: Axis Petrochem Pte. Ltd.

Employment Type: Full time, Mon- Fri, 0900-1800hr

Location: 221 Henderson Road

We are looking for a detail-oriented and analytical Admin Support to support our sales operations and ensure smooth execution across the sales cycle. This role requires strong coordination skills, accuracy, and the ability to manage multiple priorities in a fast-paced environment.

Job Scope

The individual shall provide administrative and operational support to the sales team to ensure smooth and efficient business processes.

1. Sales Support & Order Processing

  • Process sales orders accurately and in a timely manner
  • Prepare quotations, invoices, and purchase orders
  • Follow up on order status, delivery timelines, and customer requests
  • Maintain accurate records of all sales transactions

2. Customer & Client Coordination

  • Act as a point of contact for customer inquiries (orders, delivery, product info)
  • Liaise with customers to confirm orders, payments, and delivery details
  • Process and arrange delivery of samples to customers
  • Handle basic customer service issues and escalate when necessary

3. Documentation & Reporting

  • To make sure that supplier's invoices are accurate towards the service requested and price quotation
  • To provide summary of all payments that need to be made at month end and create the bank entry
  • Maintain organized records of sales documents (quotations, invoices, contracts)
  • Prepare sales reports, summaries, and updates for management
  • Track sales data and assist in basic analysis where required

4. Process Improvement & Efficiency

  • Identify areas to improve workflow and administrative processes
  • Ensure accuracy, efficiency, and compliance in all sales operations

5. Coordination with Internal Teams

  • To tally warehouse reporting and inventory movement to make sure warehouse report is accurate
  • To make sure that warehouse invoices are accurate towards job and price quotation
  • Work closely with warehouse, logistics, and procurement teams to ensure timely order fulfilment
  • Communicate order updates and issues to the sales team
  • Support coordination between departments for smooth operations

6. Payment & Administrative Support

  • Monitor payment status and follow up on outstanding invoices
  • Assist with basic accounting coordination (e.g. sending invoices, confirming payments)
  • Perform general administrative duties (filing, scheduling, data entry, etc.)

7. Others:

  • Coordinate with Building management on Office matters
  • Other matters that is assigned by Managing Director and General Manager

✅ Requirements

  • Diploma Business Administration, or related field
  • Experience in Sales Admin / CRM / Administrative roles of minimum 2 years preferred
  • Proficient in CRM tools, Microsoft Office or Google Workspace
  • Proficient in inventory management software ( Eg. Zoho Inventory)
  • Strong analytical skills and attention to detail
  • Good communication and coordination skills
  • Ability to multitask and work in a fast-paced environment
