Job Description

About the Role

We are looking for a detail-oriented and proactive Sales Operations Executive to support our sales team and ensure smooth day-to-day operations. This role plays a key part in coordinating sales activities, managing orders and quotations, and working closely with internal and external stakeholders to drive business efficiency.

Key Responsibilities

Sales Support & Coordination

  • Provide administrative and operational support to the sales team
  • Prepare quotations, proposals, and sales-related documentation
  • Follow up on sales opportunities, renewals, and customer inquiries
  • Maintain accurate records of sales activities in CRM systems

Order & Process Management

  • Handle end-to-end sales order processing (PO, invoicing, delivery coordination)
  • Liaise with vendors, distributors, and internal teams to ensure timely fulfilment
  • Track order status and resolve any delivery or billing issues

Customer & Vendor Liaison

  • Act as a point of contact for customers on order status, documentation, and coordination matters
  • Work closely with vendors/partners on pricing, availability, and deal registration
  • Support onboarding of new customers and vendors

Reporting & Operations

  • Prepare regular sales reports, pipeline tracking, and performance updates
  • Monitor inventory or licensing usage (where applicable)
  • Support internal processes, documentation, and workflow improvements

Cross-functional Collaboration

  • Coordinate with finance for invoicing, payments, and reconciliation
  • Work with marketing on campaigns, events, and lead tracking
  • Support tender submissions and vendor onboarding processes

Requirements

  • Diploma or Degree in Business, IT, or related field
  • 1-3 years of experience in sales operations, sales support, or administrative roles (IT industry preferred)
  • Strong organizational and multitasking skills
  • Good communication skills (written and spoken English)
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) CRM experience is a plus
  • Detail-oriented, responsible, and able to work in a fast-paced environment

Preferred Skills (Nice to Have)

  • Experience in IT solutions, cybersecurity, or SaaS industry
  • Familiarity with quotation, licensing, or vendor management processes
