Job Description

Role Summary:

We are looking for a diligent and highly organized Sales Admin cum Shipping Coordinator to support our sales operations in Singapore. In this role, you will play a key part in managing sales administration processes, coordinating orders, and ensuring smooth communication between internal teams and customers. You will also assist with shipping coordination to ensure timely and efficient delivery of goods. Responsibilities:

  • Manage full-cycle export order processing, including receiving customer orders, issuing purchase orders to factories, and ensuring accurate system entry (e.g., SAP).

  • Monitor production progress and coordinate closely with factories to ensure on-time completion for export shipments.

  • Plan and coordinate export shipments with freight forwarders, carriers, and logistics partners to ensure timely and cost-effective delivery.

  • Prepare and review full sets of export shipping documentation, ensuring compliance with customer and regulatory requirements.

  • Coordinate loading schedules and track shipment status, providing timely updates to customers and internal stakeholders.

  • Verify freight and logistics invoices prior to submission to Finance.

  • Maintain accurate records, databases, and prepare relevant sales and logistics reports.

  • Support the Sales Team with operational and administrative tasks related to overseas accounts.

Requirement:

  • Minimum Nitec / GCE O Level / Diploma in Business Administration, Logistics, Supply Chain or related field.

  • 1-2 years of experience in sales administration, shipping coordination or logistics support. Candidates with relevant internship experience may also be considered.

  • Basic understanding of export documentation and shipment coordination is preferred.

  • Proficient in Microsoft Office (Excel, Word, PowerPoint) SAP experience will be an advantage.

  • Good command of written and spoken English and Mandarin to liaise with Mandarin-speaking overseas customers and factories.
