We are looking for a Junior Sales Admin cum Shipping Coordinator to support our daily sales operations and shipment coordination activities. This position is suitable for fresh graduates or candidates with up to 1-2 years of experience who are eager to learn and grow in a dynamic environment. The role involves assisting with order processing, coordinating with overseas offices and customers, and preparing basic import/export documentation.
Sales Order Processing: Assist in creating and verifying sales orders, ensuring accurate product details, pricing, and shipping information before entering them into the company's ERP system.
Communication Liaison: Serve as a contact point for internal teams and customers on order status, delivery schedules, documentation requirements, and general inquiries.
Order Workflow Support: Support the full order management process from PO receipt to invoice preparation and delivery followup.
Shipping Coordination: Work with freight forwarders to arrange import/export documentation.
Document Preparation: Prepare basic import/export documents as required.
Shipment Tracking: Monitor shipment progress and provide timely ETD/ETA updates to customers and sales teams.
Record Management: Maintain organized order files and documentation records.
Administrative Support: Provide general administrative assistance related to sales orders and shipping documents.
Any other duties assigned by the superior or management from time to time.
Diploma in Business, Supply Chain, Logistics, or related fields
Fresh graduates are strongly encouraged to apply
Up to 1-2 years of experience in order processing or sales support (added advantage but not required)
Basic knowledge of Incoterms and shipping documents (e.g., Bill of Lading) is a plus
Strong communication and coordination skills
Proficient in Microsoft Excel and Word
Comfortable communicating with multiple overseas stakeholders
Willing to learn and adapt to in-house ERP systems
