Job Description

We are looking for a Junior Sales Admin cum Shipping Coordinator to support our daily sales operations and shipment coordination activities. This position is suitable for fresh graduates or candidates with up to 1-2 years of experience who are eager to learn and grow in a dynamic environment. The role involves assisting with order processing, coordinating with overseas offices and customers, and preparing basic import/export documentation.

Responsibilities

  • Sales Order Processing: Assist in creating and verifying sales orders, ensuring accurate product details, pricing, and shipping information before entering them into the company's ERP system.

  • Communication Liaison: Serve as a contact point for internal teams and customers on order status, delivery schedules, documentation requirements, and general inquiries.

  • Order Workflow Support: Support the full order management process from PO receipt to invoice preparation and delivery followup.

  • Shipping Coordination: Work with freight forwarders to arrange import/export documentation.

  • Document Preparation: Prepare basic import/export documents as required.

  • Shipment Tracking: Monitor shipment progress and provide timely ETD/ETA updates to customers and sales teams.

  • Record Management: Maintain organized order files and documentation records.

  • Administrative Support: Provide general administrative assistance related to sales orders and shipping documents.

  • Any other duties assigned by the superior or management from time to time.

Requirements

  • Diploma in Business, Supply Chain, Logistics, or related fields

  • Fresh graduates are strongly encouraged to apply

  • Up to 1-2 years of experience in order processing or sales support (added advantage but not required)

  • Basic knowledge of Incoterms and shipping documents (e.g., Bill of Lading) is a plus

  • Strong communication and coordination skills

  • Proficient in Microsoft Excel and Word

  • Comfortable communicating with multiple overseas stakeholders

  • Willing to learn and adapt to in-house ERP systems
