We are seeking a Retail Operations Officer (Systems) to support the execution, control, and continuous improvement of retail operations.
The role focuses on sales operations support, transaction review, system coordination, UAT testing, and process monitoring, working closely with local teams and support functions to ensure operational accuracy, efficiency, and effective issue resolution.
This position also plays a key role in driving workflow improvements and enhancing operational controls across retail sites.
Key Responsibilities
1. Retail Operations & Transaction Control
- Support daily retail operations by monitoring key activities and coordinating issue resolution with relevant stakeholders
- Review transaction adjustments, sales exceptions, and operational discrepancies to ensure accuracy and proper follow-up
- Monitor daily sales data and identify unusual patterns or items requiring clarification
2. System Support & UAT
- Support system implementation, enhancement, and issue resolution in collaboration with business users and technical teams
- Participate in User Acceptance Testing (UAT), including test execution, documentation of results, and follow-up on defect resolution
- Support system-related troubleshooting and ensure timely closure of operational/system issues
3. Coordination & Issue Management
- Coordinate with station teams, local operations, and support functions on operational issues and process changes
- Track open issues, action items, and implementation progress to ensure timely resolution
- Ensure key operational follow-ups are properly completed and communicated across stakeholders
4. Reporting & Process Improvement
- Prepare and maintain trackers, reports, and documentation for management review
- Support budget tracking and administrative coordination where required
- Identify opportunities to improve workflow efficiency, reduce manual processes, and strengthen operational controls
Requirements
- Proficiency in English and Mandarin (spoken and written)
- Degree or diploma in Business, Operations, Information Systems, Finance, Accounting, or related discipline
- 2-5 years of experience in retail operations, sales operations, transaction review, system coordination, or process control
- Experience in UAT, system coordination, or issue tracking is preferred
- Strong attention to detail and ability to work accurately with data
- Good coordination and communication skills across multiple stakeholders
- Structured, disciplined, and able to manage both routine operations and improvement tasks
- Proficient in Microsoft Excel, PowerPoint, and Word
- Experience in retail, fuel retail, convenience retail, or multi-site operations is an advantage
