Retail Operations Manager - Retail Store

Job Purpose
The Retail Operations Manager holds a critical leadership and operational position responsible for the overall day-to-day management, efficiency, profitability, service standards, manpower deployment, inventory control, and operational compliance of the supermarket.
The incumbent is accountable for ensuring that all supermarket departments operate efficiently and consistently, with particular emphasis on sales performance, stock availability, customer service, manpower productivity, merchandising standards, shrinkage control, food safety, cleanliness, and cost management.
The Retail Operations Manager must maintain strong control over daily store operations, promptly resolve operational problems, and lead supervisors and frontline employees to achieve the company's operational and commercial objectives.
Key Duties & Responsibilities
1. Overall Supermarket Operations
- Take overall responsibility for the smooth and efficient day-to-day operation of the supermarket.
- Plan, organise, supervise, and control activities across all retail departments.
- Conduct regular store inspections to ensure operational standards are consistently maintained.
- Ensure shelves, promotional areas, fresh-food sections, checkout counters, storerooms, and customer areas are properly managed.
- Identify operational weaknesses and implement immediate corrective measures.
- Ensure opening, closing, cash-handling, stock-handling, and other operational procedures are properly followed.
2. Sales & Store Performance
- Drive the supermarket to achieve established sales, productivity, and profitability targets.
- Monitor daily, weekly, and monthly sales performance and identify areas requiring corrective action.
- Analyse departmental and category performance to identify sales opportunities and operational issues.
- Work closely with management, purchasing, merchandising, and marketing teams to implement sales-driving initiatives.
- Ensure promotional activities and seasonal campaigns are properly executed at store level.
- Recommend operational improvements to increase customer traffic, conversion, basket size, and overall sales.
3. Inventory & Stock Availability
- Maintain high standards of stock availability while controlling excessive and slow-moving inventory.
- Ensure timely replenishment of merchandise from storerooms to selling areas.
- Monitor out-of-stock situations and coordinate with purchasing and inventory teams to resolve shortages.
- Ensure proper stock rotation using FIFO/FEFO principles, particularly for fresh, chilled, frozen, and short-shelf-life products.
- Supervise stock counts, cycle counts, and inventory reconciliation.
- Investigate significant inventory discrepancies and implement corrective measures.
- Ensure damaged, expired, obsolete, and unsellable stocks are identified and properly controlled.
4. Shrinkage, Wastage & Loss Prevention
- Take ownership of supermarket shrinkage and wastage-control measures.
- Monitor losses arising from theft, damage, expiry, incorrect pricing, poor handling, receiving discrepancies, and operational errors.
- Analyse shrinkage and wastage trends and implement preventive actions.
- Ensure employees comply with stock movement, receiving, transfer, return, and disposal procedures.
- Work with relevant personnel to investigate unusual stock or cash discrepancies.
- Establish stronger operational controls where recurring losses are identified.
5. Manpower Planning & Staff Management
- Plan manpower requirements and ensure adequate staffing according to customer traffic, workload, promotional periods, weekends, and peak seasons.
- Prepare or supervise staff rosters and deployment.
- Lead, supervise, coach, and develop department supervisors and frontline employees.
- Allocate manpower efficiently to maximise productivity while maintaining customer-service standards.
- Monitor employee attendance, punctuality, grooming, conduct, and work performance.
- Identify training and performance gaps and implement appropriate coaching or corrective action.
- Conduct performance evaluations and recommend recognition, development, or disciplinary action where appropriate.
- Ensure employees understand their responsibilities, targets, and operational procedures.
6. Customer Service Management
- Establish and maintain high customer-service standards throughout the supermarket.
- Ensure employees are professional, helpful, responsive, and knowledgeable when assisting customers.
- Handle escalated customer complaints and difficult service situations.
- Investigate recurring customer complaints and implement corrective actions.
- Monitor checkout waiting times and deploy additional manpower during peak periods.
- Identify opportunities to improve the overall customer shopping experience.
- Ensure customer feedback is communicated to relevant departments and management.
7. Merchandising & Store Standards
- Ensure merchandise is properly displayed, priced, labelled, replenished, and maintained according to company standards.
- Ensure promotional displays, end caps, gondolas, and seasonal displays are implemented correctly.
- Maintain high standards of product presentation and shelf availability.
- Ensure price labels and promotional information are accurate and clearly displayed.
- Monitor product placement and selling-space utilisation to improve sales productivity.
- Coordinate with purchasing and merchandising teams regarding new products, discontinued items, and promotional merchandise.
8. Fresh Food & Perishable Operations
- Maintain strict operational control over fresh, chilled, frozen, and other perishable departments.
- Ensure product freshness, quality, temperature control, stock rotation, and shelf-life requirements are maintained.
- Monitor wastage and markdowns within perishable categories.
- Ensure employees follow appropriate food-handling and hygiene procedures.
- Take prompt action where products fail to meet quality or food-safety requirements.
9. Cashier & Front-End Operations
- Ensure efficient operation of checkout counters and customer-service areas.
- Monitor queue lengths and ensure appropriate cashier deployment during peak periods.
- Ensure cash-handling, till-opening, till-closing, refunds, voids, discounts, and other transactions comply with company procedures.
- Investigate significant cash shortages, overages, or transaction irregularities.
- Maintain appropriate controls to minimise cashier errors, fraud, and financial losses.
10. Receiving & Backroom Operations
- Ensure incoming merchandise is properly received, verified, recorded, and stored.
- Ensure quantities, product conditions, expiry dates, and relevant documentation are checked during receiving.
- Maintain orderly, safe, and efficient storeroom operations.
- Ensure stock is stored according to appropriate temperature, hygiene, safety, and product-handling requirements.
- Prevent unauthorised stock movement and ensure proper documentation for transfers, returns, and disposals.
11. Safety, Hygiene & Regulatory Compliance
- Ensure supermarket operations comply with applicable company policies and relevant regulatory requirements.
- Maintain high standards of store cleanliness, sanitation, food hygiene, and workplace safety.
- Ensure cold-chain and temperature-control procedures are followed where applicable.
- Conduct regular checks of operational and safety conditions.
- Ensure hazards, defective equipment, spillages, blocked access routes, and other safety risks are addressed promptly.
- Support inspections and audits and ensure corrective actions are completed within required timelines.
12. Cost & Productivity Management
- Control operating expenses without compromising customer service or operational standards.
- Monitor manpower costs, overtime, utilities, consumables, wastage, and other controllable expenses.
- Improve staff productivity through effective manpower deployment and workflow planning.
- Identify opportunities to simplify processes and improve operational efficiency.
- Ensure supermarket resources, equipment, and supplies are properly utilised and controlled.
13. Emergency & Incident Management
- Take charge of significant operational incidents occurring within the supermarket.
- Respond promptly to equipment failures, refrigeration problems, power disruptions, customer incidents, safety hazards, stock losses, and other operational emergencies.
- Escalate serious incidents to senior management promptly.
- Ensure incidents are properly documented, investigated, and followed by appropriate preventive or corrective action.
14. Management Reporting & Continuous Improvement
- Prepare regular operational reports covering sales, manpower, inventory, shrinkage, wastage, customer complaints, operational incidents, and other key indicators.
- Analyse operational data to identify trends, risks, and areas requiring management attention.
- Conduct regular operational meetings with supervisors and department heads.
- Develop and implement action plans for underperforming departments.
- Continuously review supermarket procedures and recommend improvements to increase efficiency, productivity, service quality, and profitability.

Requirements
Education
- Diploma or Degree in Retail Management, Business Administration, Operations Management, or a related discipline.
Experience
- Substantial experience in supermarket, hypermarket, grocery, FMCG, or high-volume retail operations.
- Proven experience managing supermarket/store operations and frontline employees.
- Strong knowledge of inventory management, stock replenishment, shrinkage control, merchandising, customer service, and manpower deployment.
- Experience managing fresh-food or perishable departments is highly advantageous.
- Previous supervisory or managerial experience in a high-volume retail environment is required.

Authority & Accountability
The Retail Operations Manager is expected to have direct operational control and accountability for the supermarket's daily retail activities within the authority delegated by senior management.
The incumbent must take immediate action on operational issues affecting sales, customers, manpower, inventory, food safety, shrinkage, security, or business continuity, while promptly escalating significant matters to senior management.
The Retail Operations Manager is accountable not merely for supervising employees, but for ensuring that the supermarket consistently achieves the required commercial, operational, customer-service, safety, and compliance standards.
Critical Nature of the Position
The Retail Operations Manager is a key management position essential to the supermarket's daily business continuity and commercial performance.
Failure to effectively manage this function may directly result in sales losses, stock shortages, excessive wastage, inventory shrinkage, manpower inefficiency, customer complaints, poor service standards, food-safety risks, compliance failures, and reduced profitability.
