Position Summary
We are seeking a highly organized and proactive Regional Admin Manager, based in Singapore, to lead and optimize administrative functions across our Southeast Asia offices, including but not limited to Singapore, the Philippines, and Vietnam. This role will report to the Head of Admin and work closely with country managers and cross-functional teams to ensure smooth day-to-day operations, compliance with local regulations, and alignment with regional business goals.
Key Responsibilities
- Oversee general office operations and facility management for Singapore, Philippines, and Vietnam offices.
- Lead vendor management for office supplies, pantry, cleaning, maintenance, and equipment procurement.
- Manage office leases, renovations, relocations, and seating plans in collaboration with local teams.
- Ensure compliance with health & safety regulations and internal workplace standards.
- Set up and maintain consistent administrative systems across countries, adapting for local legal and business needs.
- Support cross-border business trips, internal events, meeting logistics, and travel arrangements.
- Consolidate and monitor regional admin budgets and cost controls.
- Track and manage inventory of office assets (e.g., laptops, monitors, furniture) and maintain accurate records across countries.
- Lead annual audits and coordinate asset transfer/disposal procedures according to group policy.
- Supervise and support local admin staff or external vendors/contractors across the three countries.
- Serve as a point of contact for admin-related onboarding and offboarding of employees.
- Support cross-functional teams with documentation, courier logistics, visa/work permit coordination, etc.
- Ensure compliance with local laws and internal group policies across admin practices.
- Identify opportunities to enhance administrative efficiency and propose solutions.
- Assist in preparing admin SOPs, approval workflows, and documentation standards.
Requirements
- Bachelor&aposs degree in Business Administration, Management, or related field.
- Minimum 5-7 years of experience in office administration, with at least 2 years in a regional or multi-country capacity.
- Strong familiarity with operational practices in Southeast Asia (especially Singapore, Philippines, and Vietnam).
- Hands-on and committed; a perfect office planner who is willing to get hands dirty and take ownership of tasks from start to finish.
- Experienced in multitasking and cross-functional collaboration/project coordination, with a strong focus on delivering projects ahead of schedule.
- Proficient in Microsoft Office and internal workflow tools; strong attention to detail and documentation.
- Excellent communication and stakeholder management skills.
- Fluent in English; Chinese language proficiency is a plus (for internal HQ coordination).
- Able to travel occasionally within the region as required.
