Admin Assistant cum PA support (24 months contract)
Location: Bugis, 5 Days Work Week
Job Responsibilities:
Provide comprehensive support to the manager and the department, ensuring the smooth execution of its mission and operations.
Key Responsibilities:
- Oversee department-wide operational tasks, including budget tracking, capital expenditure requests, administrative check requests, facility planning, meeting scheduling, expense reports, travel arrangements, and phone/voicemail activation prepare relevant forms and requisitions.
- Key liaison for all procurement-related matters within the Regional Marketing Team, including PO creation, invoicing, payments, and accruals.
- Serves as the primary contact for internal finance personnel and external vendors to resolve billing issues.
- Collaborates with the Regional Procurement Team on contract lodgment, vendor creation and maintaining the Approved Vendors List.
- Coordinates vendor meetings, including venue booking and scheduling.
- Supports regional affiliates in organizing events, meetings, and training.
- Assists the Marketing Team in project management, event planning, and workplace engagement initiatives.
- Manages cross-charging of project expenses to ensure accurate financial tracking.
- Maintain accurate records, organize administrative files and databases, and generate weekly/monthly reports.
- Assist the manager and team by handling administrative duties and gathering necessary information and documentation.
Job Requirements :
- Diploma/Degree holder in Administration or any discipline
- At least 5 years of relevant working experience in Secretary and admin support
- Good communication and interpersonal skills, able work well with all levels
- Able to work independently in a dynamic environment
- Proficient in Excel, Word and PowerPoint.
