About the Role

We are looking for a detail-oriented and proactive HR Operations Specialist to support employee onboarding and background verification processes. This role works closely with HR, hiring managers, and cross-functional teams to ensure a smooth, compliant, and positive onboarding experience for new hires.

Key Responsibilities

Onboarding Support

  • Collaborate with HR and management to implement structured onboarding plans.
  • Assist new hires with onboarding-related administrative tasks.
  • Coordinate with internal departments to ensure a seamless onboarding experience.
  • Monitor new hires progress during the onboarding period and proactively address issues or concerns.

Background Verification

  • Conduct background checks, including verification of educational qualifications, employment history, criminal records, and references.
  • Maintain accurate and confidential records of background checks.
  • Investigate discrepancies and communicate findings to relevant stakeholders in a timely manner.
  • Strictly adhere to company policies, procedures, and confidentiality requirements.

Stakeholder Communication

  • Be proactive and responsive when interacting with candidates, hiring managers, and internal stakeholders.
  • Demonstrate professional, clear, and thoughtful communication throughout the onboarding and background check process.

Process & Administration

  • Track assigned candidates, progress, and pending items with strong organizational discipline.
  • Identify opportunities to improve onboarding and background verification processes.
  • Manage multiple tasks efficiently while meeting deadlines.

Required Skills & Qualifications

  • Bachelor's degree in Business Administration or an industry-related field.
  • Experience with HR systems and processes, particularly onboarding and background verification.
  • Familiarity with ticketing systems and/or applicant tracking systems (ATS).
  • Knowledge of CRM tools/applications and basic process training.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • High attention to detail and strong organizational skills.
  • Ability to multi-task, prioritize, and track assigned work effectively.
  • Comfortable collaborating with local teams and global stakeholders.
  • Proficiency with Microsoft Outlook, Excel, and other MS Office applications.
  • Agile mindset with the ability to learn new processes and adapt quickly.
