Our Client is a Fortune 500 US MNC and the world's largest chemical company in terms of sales. They would like to invite suitably experienced candidates to join them as Facility Admin cum Receptionist.
FACILITY ADMIN CUM RECEPTIONIST (One-Year Contract / Renewable)
The Facility Admin Assistant cum Receptionist plays a dual role in managing front desk operations and supporting facility administration. This position ensures a welcoming environment for visitors and staff while maintaining efficient office and facility operations
Reception Duties
. Greet and assist visitors, clients, and staff professionally.
. Manage incoming calls, emails, and deliveries.
. Maintain visitor logs and issue access passes.
. Ensure the reception area is clean, organized, and presentable.
. Handle incoming and outgoing mail and courier services.
Security Support
. Issue and manage ID badges or access cards (New Hires / Temp Staffs)
. Monitor entry/exit points (main doors, restricted areas)
. Maintain visitor logs and escort procedures
. Monitor and manage access control systems, including CCTV.
. Extract data from the system and generate monthly reports on security requirements.
Administrative Support
. Provide administrative support to the Facility Executive Lead.
. Coordinate meeting room bookings and ensure proper setup.
. Maintain and replenish office supplies and pantry items.
. Assist in preparing reports, memos, and documentation.
. Support procurement processes (PR & GR) and vendor management.
. Maintain filing systems and records (physical and digital).
Facility Operations
. Monitor and report facility-related issues (e.g., lighting, HVAC, plumbing).
. Coordinate with vendors for maintenance and repair work.
. Assist in implementing health, safety, and security protocols.
. Support emergency preparedness and evacuation drills.
. Track and manage access cards and office keys.
. Assist in space planning and workstation arrangements.
Staff & Event Support
. Assist with onboarding of new employees (e.g., access setup, welcome kits, orientation).
. Support internal events and meetings (e.g., logistics, refreshments).
. Coordinate with cleaning and security teams for daily operations.
. Help manage facility-related communications and notices.
Technology & Systems
. Operate office equipment (e.g., printers, scanners, video conferencing tools, BMS system).
. Report IT-related issues to the relevant support teams.
. Maintain basic troubleshooting knowledge for office systems.
. Relevant CERTs, ITE, or Diploma in Business Administration, Facilities Management, or a related field.
. 1-3 years of experience in administrative support, front desk operations, or facilities coordination.
. Experience in handling vendors, office maintenance, or receptionist duties is a strong advantage
. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
. Familiarity with office equipment (printers, phone systems, access control).
. Basic knowledge of facility management systems or tools (e.g., SAP / GR) is a plus.
