RESPONSIBILITIES:
- Oversee day-to-day facility operations, including service requests and coordination with building management and vendors
- Manage vendor contracts and renewal quotations
- Administer door access cards, surveillance camera checks, and entry pass platform
- Submit monthly security access reports
- Conduct annual checks on premises security equipment (e.g. fire extinguishers, hose reels)
- Update and align local office policies with compliance standards annually
- Manage fixed asset inventory and meeting room booking system
- Safeguard all office keys and maintain centralized contract storage
- Administer serial numbers for internal memo requests
- Coordinate document storage and maintain up-to-date staff listing
- Oversee corporate vehicle rental and season parking arrangements
- Review and renew office insurance policies
- Support annual HQ-related orders and seasonal festive needs
- Manage incoming/outgoing mail and courier services
- Welcome guests and manage reception/meeting room housekeeping
- Handle staff onboarding/offboarding logistics
- Maintain internal PDPA documentation (vendors, staff, third parties)
- Submit monthly postage reports and manage supplies
- Coordinate stationery, pantry, and office printing needs
- File and verify invoices and contracts related to administrative purchases
- Assist with company events, team-building activities, and staff welfare initiatives
- Coordinate delivery of congratulatory or condolence items (e.g. baby gifts, wreaths)
- Other tasks as assigned by the Head of HR/GA
REQUIREMENTS:
- Strong organizational and multitasking abilities
- Effective communication skills, both written and verbal
- Team player with a proactive attitude
- Experienced in liaising with Mandarin-speaking stakeholders
