Key Duties, Roles & Responsibilities:

QHSE Documentation & Control

  • Maintain QHSE documentation (policies, procedures, risk assessments and records) in compliance with ISO 9001, ISO 14001 and ISO 45001 requirements

  • Control and organize documented information to ensure proper filing, version control and audit readiness

  • Maintain document registers and ensure latest revisions are updated and communicated

Regulatory & Compliance Support

  • Prepare draft compliance reports and support regulatory submissions (e.g. SCDF, NEA, SPF etc.)

  • Assist in license, permit and certification application and renewal processes

  • Maintain compliance register and track validity of licenses and permits

  • Support monitoring of regulatory requirements and updates

Audit & CAPA Coordination

  • Assist in coordination of internal and external audits (ISO, regulatory, customer)

  • Prepare audit documents and records for submission

  • Track corrective and preventive actions (CAPA)

  • Follow up with relevant departments to ensure timely closure

Record Management

  • Maintain records for:

    • Incidents and investigations

    • Training and competency

    • Inspection and maintenance

  • Ensure all records are complete, updated and audit-ready

Reporting & Data Management

  • Compile QHSE data and assist in preparing monthly reports

  • Maintain tracking logs (audit findings, incidents, training, licenses)

  • Ensure accuracy and completeness of data

Training & Safety Coordination

  • Maintain training records and monitor validity of certifications

  • Assist in coordinating safety meetings & training sessions

  • Support company safety programmes and initiatives

Coordination & Communication

  • Liaise with internal departments on QHSE documentation and compliance matters

  • Follow up on submission of documents and required actions

  • Provide administrative support to QHSE team and operations

Basic Technical Support (Light Scope)

  • Assist in Safety Data Sheet (SDS) review, Dangerous Goods (DG) classification and New Product Introduction (NPI) evaluation under supervision

Minimum Requirements:

  • Diploma or Degree in Chemical Engineering, Chemistry or a related discipline

  • 0-2 years of relevant experience preferred. Entry-level candidates without prior experience may also be considered if they demonstrate strong interest in QHSE in the logistics sector

  • Proficient in Microsoft Excel, Word and PowerPoint

  • Basic knowledge in Chemistry will be an advantage

  • Good communication and interpersonal skills, with the ability to work effectively with internal and external stakeholders

  • Detail-oriented, self-motivated and adaptable

  • Willing to travel as required
