The Purchasing Executive is responsible for managing procurement activities, vendor relationships, and inventory planning to support smooth business operations. This role ensures timely sourcing of materials, cost efficiency, and accurate documentation, while maintaining strong coordination with internal teams and external suppliers.
Key Responsibilities
. Evaluate vendor capabilities, quality, pricing, and delivery terms to select the most suitable suppliers
. Build and maintain strong relationships with vendors to ensure reliable supply and favourable terms
. Manage the full procurement cycle, including converting Purchase Requests to Purchase Orders
. Monitor and analyse purchasing trends, preparing reports for cost control and decision-making
. Identify and address price discrepancies, including tracking and managing price changes
. Maintain and update purchasing records and reports for accurate tracking and easy retrieval
. Plan and manage inventory levels, including safety stock calculations, to minimise stockouts and overstocking
. Coordinate and monitor shipments to ensure timely delivery of materials
. Liaise with Operations and Sales teams to verify deliveries and resolve discrepancies
. Develop, review, and improve Standard Operating Procedures (SOPs) for procurement processes
. Ensure compliance with company policies and procurement procedures
. Any other ad-hoc responsibilities assigned
Requirements
. Diploma or Degree in Supply Chain Management, Business Administration, or related field
. Minimum 2 years of relevant experience in purchasing or procurement (preferred)
. Proficient in Microsoft Office applications, especially Excel
. Strong negotiation, communication, and interpersonal skills
. Good analytical and problem-solving abilities
. Ability to work independently and manage multiple tasks in a fast-paced environment
. Detail-oriented with strong organisational skills
