Role Overview

The Project Coordinator plays a pivotal role in supporting the successful planning, execution, and delivery of technology projects. Working closely with Project Managers, technical teams, and client stakeholders, the Project Coordinator ensures that projects run on time, within scope, and within budget. This mid-level role requires a proactive individual with strong organisational skills, excellent communication, and a demonstrated track record of managing multiple workstreams simultaneously.

Key Responsibilities

Project Planning & Execution

. Assist in developing detailed project plans, including scope, timelines, milestones, and resource allocation.

. Coordinate day-to-day project activities, ensuring tasks are assigned, tracked, and completed on schedule.

. Support end-to-end delivery of NetSuite ERP, Nusmat HRMS, and AgentCallBack AI Voice Agent platform projects - including requirements gathering support, configuration milestones, UAT planning, training coordination, and go-live readiness.

. Monitor project progress and proactively identify risks, dependencies, and blockers, escalating as appropriate.

. Maintain up-to-date project documentation including schedules, action logs, RAID registers, and status reports.

Stakeholder Communication

. Serve as a key point of contact for internal teams and external clients throughout the project lifecycle.
. Prepare and distribute project status updates, meeting minutes, and progress reports to relevant stakeholders.

. Facilitate project meetings, workshops, and review sessions, ensuring clear agendas and documented outcomes.

Resource & Budget Coordination

. Track resource utilisation and flag capacity issues to the Project Manager in a timely manner.

. Support budget monitoring by tracking expenditures against approved budgets and flagging variances.

. Coordinate with vendors, contractors, and third-party service providers as needed.

Quality & Compliance

. Ensure deliverables meet defined quality standards and client requirements before submission or sign-off.

. Support compliance with internal project governance frameworks, methodologies (Agile, Waterfall, or hybrid), and client-specific requirements.

. Maintain organised and audit-ready project records and filing systems.

Process Improvement

. Identify opportunities to improve project coordination processes and tools.

. Contribute to the development of templates, best practices, and knowledge-sharing initiatives within the PMO.
Qualifications & Experience

Education

. Bachelor's degree in Business, Information Technology, Computer Science, Engineering, or a related field.

. Project management certification (PMP, CAPM, PRINCE2 Foundation, or equivalent) is highly advantageous.

Experience

. 3-5 years of experience in a project coordination or project management support role, preferably within the technology or IT services industry.

. Demonstrated experience managing ERP, HRMS, and/or AI platform implementation projects - experience with NetSuite ERP, Nusmat HRMS, and AgentCallBack AI Voice Agent platform is strongly preferred.

. Demonstrated experience managing multiple projects or workstreams simultaneously in a fast-paced environment.

. Exposure to client-facing roles and experience working with cross-functional teams including functional consultants, developers, and business stakeholders.

Skills & Competencies

Technical Skills

. Proficiency in project management tools such as Jira, Asana, MS Project, Trello, or equivalent.

. Strong command of Microsoft Office Suite (Excel, Word, PowerPoint) and collaboration platforms (Teams, Slack, Confluence).

. Familiarity with Agile/Scrum and Waterfall project delivery methodologies.

. Hands-on experience coordinating NetSuite ERP implementation or upgrade projects, including module rollouts (Finance, Procurement, Inventory, or Order Management) and data migration activities
. Experience supporting HRMS implementation projects - specifically Nusmat HRMS or equivalent platforms - covering payroll configuration, leave management, employee data onboarding, and user acceptance testing (UAT) coordination.

. Familiarity with AgentCallBack AI Voice Agent platform - including multi-language voice agent configuration, CRM integration (HubSpot, Salesforce, NetSuite), and callback workflow testing across SIT and UAT phases.

. Ability to liaise effectively between functional consultants, technical developers, and end-users during ERP, HRMS, and AI voice platform deployments, including coordinating testing cycles (SIT, UAT) and defect tracking for AgentCallBack implementations.

. Understanding of IT systems, software development lifecycle (SDLC), or broader digital transformation projects is an advantage.

Soft Skills

. Excellent written and verbal communication skills in English proficiency in additional languages is a plus.

. Strong organisational skills with meticulous attention to detail.

. Proven ability to work under pressure, prioritise effectively, and meet deadlines.

. Collaborative team player with the ability to build relationships across functions and seniority levels.

. Problem-solving mindset with the initiative to drive issues to resolution
