Job Duties and Responsibilities
This position provides administrative support to the Operations Team.
- Be part of maintenance team - meet maintenance customers, prepare and submit quotations, arrange for maintenance works, prepare delivery orders and invoices.
- Coordinate, follow up and make proposals to clients to renew maintenance contracts upon expiry.
- To accurately and promptly upkeep documentation control listing maintain proper filing of project documents, in accordance with Company's standard practice.
- In charge of Safety/Site Induction Course (SIC) documents - including Worker's Particulars, Method of Statement, Safe Work Procedures, Risk Assessment, etc
- Coordinate with the project team and all contractors on relevant document submission.
- Prepare and consolidate required documents to be submitted to relevantparties / authorities for pre-project and post-project phase (project schedule,PTW forms, Risk Assessment, Method of Statement, AS-Built drawing, etc)
- Conduct meeting between sales and Operations department and prepare minutesof meeting, recording down project related matters/issues and claims for follow up.
- Coordinate loading bay bookings between logistics and building management.
- Update and prepare monthly budget calculation of Work Deployment Orders for Project and Manpower Cost Analysis.
- Assist in preparing correspondence letters, emails, faxes, minutes, and memos.
- To assist in ad-hoc assignments as directed by the Operations Manager
Job Requirements
- Diploma qualification
- Good organization, time management and interpersonal skills
- Prior working experience in construction industry and possessing a class 3 driving licence will be an added advantage
