To support the QSHE function across multiple active projects and corporate-level governance by managing administrative, documentation, audit coordination, and regulatory correspondence. This role ensures the effectiveness, integrity, and audit-readiness of the Integrated Management System (ISO 9001 / ISO 14001 / ISO 45001), while enabling the QSHE operations team to focus on high-risk operational reviews.
ISM & Document Control
Maintain and administer document control for the Integrated Management System (ISO9001 / 14001 / 45001).
Manage controlled procedures, forms, registers, and revision tracking to ensure document integrity and traceability.
Audit & Certification Coordination
Coordinate and schedule internal audits, external audits, surveillance audits, and certification renewals (ISO, bizSAFE, ConSASS).
Track and follow up on CARs, NCRs, audit observations, and evidence submissions, ensuring timely closure and audit readiness.
Regulation & Authority Correspondence
Centralize and maintain accurate records of correspondence with MOM, NEA, PUB, SCDF, BCA.
Manage inspections records, notices, summonses, penalties, and regulatory submissions.
Reporting & Management Support
Prepare and consolidate monthly QSHE dashboards, KPI reports, and management review inputs for senior management.
Operational & Administrative Support
Manage scheduling for audits, training sessions, inspections, and meetings.
Support tender submissions by preparing and compiling QSHE-related documentation.
Ensure confidential and controlled QSHE documents are handled professionally at all times.
Diploma in Business Administration, or a related discipline.
Minimum 3 years of relevant experience in QSHE, HSE, QHSE, or ISO-related administrative roles, within the construction sector.
With working knowledge of Integrated Management Systems (IMS) and document control requirements.
Proficient in Microsoft Office applications including data consolidation, report preparation, and dashboard support.
Ability to manage multiple deadlines, maintain accurate records, and ensure document integrity and traceability.
Strong attention to detail with a high level of accuracy.
Good coordination and communication and skills to liaise effectively with project teams, auditors, and authorities.
Demonstrated professionalism in handling confidential and controlled QSHE documentation.
