Qian Shan Group is a leading F&B company in Singapore seeking an experienced, highly organized, and detail-oriented Personal Assistant to provide high-level executive support to our CEO. This position requires exceptional organizational skills, multitasking abilities, discretion, and the ability to manage both professional and personal tasks efficiently to enable the CEO to focus on strategic initiatives.
Key Responsibilities:
1.Calendar & Meeting Management
.Manage the CEO's daily calendar, including scheduling meetings, appointments, travel, business and personal functions
.Present for meetings for minutes taking to accurately take account of the important information and required tasks to follow up.
2.Project tracking and documentation support
.Monitor deadlines, track progress and provide regular updates to CEO to ensure he is kept well informed of all project's status
.Assist in preparing and organizing confidential information required for meetings and provide updates to CEO to ensure he is well informed of the information needed for the meeting
.Prepare and organize confidential reports and presentations to support the CEO's decision-making.
3.Travel & Logistics Coordination
.Plan and coordinate all logistics matters pertaining to travel, including flights, accommodations, ground transportation and visas
.Anticipate itinerary changes and handle last-minute adjustments to ensure smooth travel.
4.External Liaison & Event Support
. Act as the primary point of contact between the CEO and internal teams, partners, and external stakeholders.
. Assist with organizing and accompanying the CEO to business functions, networking events, and client entertainment when needed.
5. Personal & Family Support
. Handle family errands and tasks for the CEO and their family
6.Ad-hoc & Special Assignments
. Perform ad-hoc task and project as directed by the CEO showing
Qualifications and Requirements
. Minimum Diploma or Bachelor's degree or equivalent
. Minimum of 3 - 5 years of experience as a Personal Assistant supporting senior leaders.
. Proven track record of managing complex schedules and travel arrangements.
. Ability to handle multiple tasks simultaneously and work under pressure.
. Strong organizational, communication and time management skills
. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
. High level of discretion and trustworthiness.
. Possess a valid class 3/3A Singapore driving license with a clean driving record.
