Key Responsibilities
Executive Support
- Provide full administrative and personal support to the Director.
- Manage complex calendars, schedule meetings, and coordinate appointments across internal and external stakeholders.
- Prepare meeting agendas, take minutes when required, and track follow-up actions.
Communication & Coordination
- Act as a key point of contact between the Director and internal departments, partners, and clients.
- Manage emails, correspondence, and phone calls on behalf of management when necessary.
- Draft professional emails, documents, and presentations.
Business & Operational Support
- Coordinate with internal departments on project updates, reporting, and key business matters.
- Assist in preparing reports, presentations, speech scripts and briefing materials for meetings.
- Track key deadlines and ensure follow-up on important tasks and deliverables.
Travel & Logistics
- Arrange travel itineraries including flights, accommodation, and transportation.
- Coordinate meeting logistics, events, and external appointments.
Administrative Management
- Maintain organised records, confidential documents, and management files.
- Assist with expense tracking, document preparation, and administrative tasks.
Additional Support
- Assist with company events, leadership meetings, and special projects when required.
- Provide occasional support for personal matters and ad-hoc tasks assigned by management.
Qualifications & Experience
- Diploma or Degree in Business Administration or a related discipline.
- Proven experience as a Personal Assistant or similar role supporting senior management.
- Excellent organisational and time management skills with strong attention to detail.
- Strong communication and interpersonal skills.
- Business professional proficiency in both English and Chinese (spoken and written).
- High level of professionalism, discretion, and integrity when handling confidential information.
- Proactive and able to manage multiple priorities in a fast-paced environment.
- Proficiency in Google Workspace (Docs, Sheet, Slides, Gmail, Calendar).
- Experience in construction, manufacturing, or project-based environments is advantageous.
