HR Administration & Compliance
- Prepare employment contracts, letters, confirmations, and HR documentation in compliance with Singapore employment regulations
- Maintain employee records, attendance tracking, leave administration, and personnel documentation
- Support work pass administration, onboarding documentation, and employee declarations
- Coordinate medical checks, insurance matters, and statutory documentation where required
- Ensure HR files and records are accurate, updated, and audit-ready
- Support payroll preparation by ensuring timely and accurate HR data submission
Recruitment & Talent Support
- Support recruitment activities including job postings, interview coordination, candidate communication, and onboarding
- Coordinate interview scheduling with department heads and management
- Maintain recruitment trackers and candidate databases
- Assist in onboarding and offboarding processes
- Help support manpower planning and recruitment reporting
Employee Experience & Culture
- Act as a first point of contact for employees on HR-related matters
- Support employee engagement activities, celebrations, and internal culture initiatives
- Assist in creating a positive, energetic, and inclusive work environment aligned with the Mama Shelter brand culture
- Support internal communication initiatives across departments
HR Operations & Reporting
- Maintain HR trackers, reports, and operational updates
- Support daily HR reporting and manpower tracking
- Assist with probation reviews, attendance matters, and HR follow-ups
- Coordinate with external vendors, government portals, and institutions when required
Health, Safety & Training Support
- Assist with workplace safety documentation and compliance requirements
- Support coordination of staff trainings, orientation sessions, and operational briefings
- Ensure HR compliance processes are properly documented and communicated
What We're Looking For
- Experience in HR administration, recruitment, or HR operations, preferably within hospitality, F&B, or lifestyle environments
- Familiarity with Singapore employment regulations and HR practices
- Strong organizational and coordination skills
- High level of confidentiality, accuracy, and professionalism
- Strong communication and interpersonal skills
- Positive attitude with the ability to thrive in a fast-paced opening environment
- Comfortable working across different departments and operational teams
- Proficient in Microsoft Office and HR administrative systems
- Written and spoken English proficiency required
