Job Description

Job Summary

The Academy Training Executive is responsible for overseeing the daily administrative and operational activities of the academy to ensure smooth and efficient operations. The role includes managing training coordination, student administration, compliance documentation, quality assurance (QA) requirements, and supporting regulatory and accreditation standards. The executive will work closely with management, trainers, students, and external stakeholders to maintain high operational and educational standards.

Key Responsibilities:

Operations & Administration

Manage the academy's daily administrative and operational activities.

Coordinate course schedules, classroom arrangements, training materials, and trainer assignments.

Ensure all training programmes are conducted according to approved schedules and operational procedures.

Maintain accurate student records, attendance, examination documentation, and certification records.

Handle student enquiries, registrations, onboarding, and administrative support.

Monitor inventory and procurement of training supplies and equipment.

Ensure classrooms and training facilities are properly maintained and operational.

Quality Assurance & Compliance:

Support the implementation and monitoring of Quality Assurance (QA) policies and procedures.

Ensure compliance with academy policies, accreditation standards, and regulatory requirements.

Prepare and maintain documentation required for audits, inspections, and accreditation exercises.

Monitor and update SOPs, forms, policies, and operational records.

Assist in maintaining examination and assessment documentation in accordance with compliance requirements.

Coordinate internal evaluations, student feedback collection, and continuous improvement initiatives.

Ensure all records are properly filed, updated, and securely maintained.

Training Coordination:

Liaise with trainers regarding lesson schedules, assessment requirements, and student progress.

Prepare training materials, attendance sheets, examination documents, and course files.

Support examination arrangements including venue preparation and candidate administration.

Assist in monitoring training delivery standards and student learning experience.

Customer Service & Communication

Provide professional customer service to students, trainers, and external partners.

Respond promptly to enquiries via email, phone, and walk-in consultations.

Maintain effective communication with stakeholders regarding schedules, programme updates, and operational matters.

Requirements:

Diploma or Degree in Business Administration, Education, Training Management, or related field.

Minimum 1-3 years of experience in administration, training coordination, education, or academy operations.

Strong organizational and multitasking skills.

Good knowledge of administrative and operational processes.

Experience in quality assurance or compliance documentation will be an advantage.

Proficient in Microsoft Office applications (Word, Excel, PowerPoint).

Strong communication and interpersonal skills.

Ability to work independently and as part of a team.

Detail-oriented with strong problem-solving abilities.

Preferred Skills:

Experience working in a Private Education Institution (PEI), training academy, or education environment.

Familiarity with accreditation or examination requirements (e.g. ITEC, WSQ, CIBTAC, or similar frameworks).

Ability to manage documentation and operational processes efficiently.

Reporting To

Academy Director / Operations Manager / Academic Manager

May require occasional weekend or evening support during examinations or academy events.
