About the Role:
The Property Executive in a retail mall plays a key role in supporting the smooth day-to-day functioning of the property. The role involves coordinating maintenance activities, assisting with tenant requests, monitoring contractors work, and ensuring compliance with operational and safety standards. The incumbent also supports fit-out coordination, defect rectification, and mall event setup, while working closely with internal teams, tenants, and service providers. This position is essential in ensuring an efficient, safe, and well-maintained environment for both tenants and shoppers.
Job Responsibilities:
- Manage and respond to tenant feedback and service requests promptly and professionally
- Coordinate operational matters and oversee maintenance works to ensure the mall operates at optimal performance
- Support the Operations Manager in preparing the annual operations budget, administering maintenance contracts, and monitoring operational expenditure
- Conduct regular inspections of common areas, public walkways, and building façade, and follow up on rectification works
- Coordinate tenant fit-out works and supervise contractors activities
- Lead technicians and manage vendor performance to ensure high service standards in daily operations
- Liaise with government authorities, statutory boards, and internal departments on matters related to building management and maintenance
- Ensure all facilities and operations comply with relevant statutory and regulatory requirements
- Prepare accurate and timely maintenance reports and incident reports
- Participate as part of the Company Emergency Response Team (e.g. Site Incident Controller, First Aider, etc.)
- Support the Environmental, Health & Safety (EHS) team in reviewing permits to work, risk assessments, and conducting safety inspections and audits
- Perform any other duties as assigned
Requirements:
Education & Experience
- Diploma or Degree in Real Estate, Facilities Management, Building Management, Engineering, Business Administration, or a related discipline
- Minimum 1–3 years of relevant experience in property management, facilities management, or real estate operations
- Experience in commercial or retail property environment is an advantage
- Exposure to tenant management, building operations, or maintenance coordination will be beneficial

Technical & Other Skills
- Basic knowledge of building operations, maintenance processes, and statutory compliance requirements
- Proficient in Microsoft Office (Excel, Word, Outlook) and reporting tools
- Familiarity with budgeting, vendor management, and contract administration is an advantage
Certifications (Advantageous)
- Fire Safety Manager (FSM) certification
- Energy Conservation Officer (ECO) certification
- Water Efficiency Management (WEM) certification
- Any other relevant property, facilities, or safety-related certifications will be an added advantage
