Job Overview

We are looking for a responsible and detail-oriented Operations & Administrative Manager to support the company's daily operations and administrative activities.

This role involves handling documentation, coordinating vehicle operations, preparing quotations, and ensuring smooth communication between departments. The ideal candidate should be organized, proactive, and capable of multitasking in a fast-moving environment.

Key Responsibilities

Document & Administrative Duties

  • Coordinate with internal teams for document handling and related administrative matters
  • Maintain proper filing systems and ensure records are updated accurately
  • Prepare quotations, invoices, and related administrative documents
  • Assist with data entry, document tracking, and reporting tasks
  • Ensure all operational documentation is properly organized and submitted
    Personally handle the collection and delivery of company documents, ensuring accuracy and efficiency

Operations Coordination Duties

  • Coordinate between the sales team and other departments to support daily operational activities

  • Maintain and update vehicle inventory records (stock in/out)

  • Monitor vehicle availability and utilization status

  • Coordinate vehicle servicing, repairs, and maintenance schedules

  • Liaise with workshops, vendors, and service providers regarding maintenance progress

  • Track completion status for repairs and servicing to ensure timely follow-up

  • Assist in operational planning and workflow coordination

  • Obtaining quotes from multiple workshops, comparing pricing and assessing the scope of work to ensure cost-effectiveness and quality

Key Requirements

  • Possess a valid Class 3 driving licence

  • Minimum 2 years of driving experience

  • Strong attention to detail and organizational skills

  • Good communication and coordination abilities across departments

  • Proficient in Microsoft Office applications, especially Excel and Outlook

  • Familiarity with quotations, document handling, and administrative coordination

  • Ability to multitask and work independently in a fast-paced environment

  • Responsible, proactive, and able to manage timelines effectively

Preferred Qualifications

  • Experience in logistics, transport, automotive, or operations-related industries

  • Knowledge of vehicle maintenance coordination is an advantage

  • Prior experience in operations support or administrative coordination roles is a plus

  • Familiarity with inventory tracking and workflow management systems is beneficial
