Boutiques organizes Boutiques Singapore, a prestigious shopping event widely regarded as the largest and most popular independent shopping platform in Singapore and Southeast Asia.

Held biannually at the F1 Pit Building, Boutiques Singapore transforms the venue into an immersive retail experience featuring curated mini shop spaces, creative brand displays, and interactive experiences for visitors.

Following the success of our Singapore editions, Boutiques will be expanding regionally with the launch of our inaugural Bangkok edition in July 2026, marking the next chapter of our growth in Southeast Asia.

Role Description

We are looking for a highly organised and proactive Operations Assistant to support the planning and execution of our events.

This role plays a key part in ensuring smooth event delivery by managing operational workflows, coordinating logistics, and supporting the team across multiple workstreams. You will work closely with internal teams, vendors, suppliers, contractors, venues, and partners from the early planning stages through to on-site event execution and post-event wrap-up.

This role requires someone who is detail-oriented, resourceful, and comfortable working in a fast-paced events environment.

The role is primarily remote, with on-site attendance required for meetings, site recce sessions, and during event periods.

Key Responsibilities

Event Planning & Coordination

  • Support end-to-end event planning, timelines, and deliverables
  • Coordinate with suppliers, contractors, venues, and partners
  • Assist with exhibitors logistics needs
  • Track event requirements, submissions, and compliance documents

Operations & Logistics

  • Plan and prepare operational documents including floor plans and setup plans
  • Coordinate event setup, event days, and teardown processes
  • Support on-site operations and storage management
  • Source and purchase logistics and operational items for the event

Data & Reporting

  • Maintain and manage datausing Google Sheets
  • Track operational budgets, invoices, and cost reports
  • Compile post-event reports and insights

Design & Materials

  • Support creation and updates of event materials, layouts, and decks using Figma
  • Ensure information accuracy across internal and external documents

Requirements

Technical Skills

  • Proficient in Google Sheets
  • Comfortable communicating in English; Mandarin proficiency is advantageous for vendor coordination

Core Competencies

  • Highly detail-oriented with strong organisational skills
  • Able to work independently and manage priorities with minimal supervision
  • Problem-solver with a calm, solutions-driven approach

Work Style

  • Comfortable working in a fast-paced events environment
  • Willing and able to work weekends during event periods
  • Flexible and hands-on, especially during setup and event days

Bonus (Good to have)

  • Experience in events, exhibitions, or experiential projects
