We are a growing food & beverage group seeking a meticulous and proactive Operations Admin to support both the operations and accounts teams. This role serves as a key link between daily store activities and financial record-keeping, ensuring supplier invoices, purchase orders, and related documentation are accurately tracked, processed, and uploaded into the system. The ideal candidate is organized, detail-oriented, and comfortable managing both paperwork and digital workflows in a fast-paced environment.
. Receive, verify, and process supplier invoices, ensuring accuracy in pricing, quantities, and supporting documents.
. Work closely with outlet managers and the accounts team to ensure all invoices are submitted, recorded, and approved promptly.
. Scan, upload, and properly file invoices and supporting documents into the company's accounting or POS system.
. Maintain a clear record of outstanding supplier invoices and follow up with suppliers or outlets where necessary.
. Reconcile invoices against purchase orders and delivery orders, highlighting discrepancies for resolution.
. Support month-end closing by ensuring all documents are properly accounted for and accessible.
. Assist the operations team with vendor communications and document submissions when required.
. Provide administrative support such as data entry, report generation, and filing to streamline workflow between departments.
. Diploma or equivalent qualification in Business Administration, Accounting, or related field.
. At least 1-3 years of administrative or accounting support experience, preferably in the F&B or retail industry.
. Strong attention to detail and ability to manage multiple priorities.
. Proficiency in Microsoft Excel, Google Workspace, or other office tools.
. Familiarity with accounting or POS systems (e.g., Xero, QuickBooks, or similar) is an advantage.
. Good communication skills and the ability to work collaboratively with multiple departments.
. A positive and proactive attitude toward problem-solving.
. Strong organizational and time-management skills.
. Integrity, accountability, and discretion when handling financial information.
. A team player who contributes to a culture of efficiency and transparency.
Working Location: Lower Delta Road (with outlet visits when required)
