The Operational Excellence Executive provides structured coordination, analytical support, and assisted execution for Operational Excellence initiatives such as Kaizen projects and NTUC CTC grant-related activities. The role focuses on disciplined documentation, data analysis, and follow-through, while progressively building capability in Operational Excellence practices to support WEO's transformation agenda.
Job Duties
- Strategy & EXCO Support
- Prepare materials for OE-related updates, Kaizen reviews, and management meetings.
- Consolidate input from departments related to Operational Excellence and improvement initiatives.
- Maintain structured documentation and version control for OE and improvement-related files.
- Kaizen & Improvement Projects
- Support Kaizen pre-work including data extraction, scoping support, and scheduling.
- Coordinate collection of process data, action tracking, and follow-up items.
- Prepare Kaizen documentation including current-state maps, A3 drafts, and improvement logs.
- Co-facilitate Kaizen activities under guidance and progressively take on small-scope improvement ownership.
- Compile Kaizen summary reports and support post-implementation tracking.
- NTUC CTC Grants & Government Funding Coordination
- Support preparation of NTUC CTC grant applications and required documentation.
- Organise and compile supporting materials such as KPI evidence, training records, and improvement outputs.
- Track submission deadlines, progress status, and post-approval reporting requirements.
- Coordinate internally with relevant departments to collect required input and evidence.
- Administrative & Coordination Support
- Maintain structured shared folders, trackers, templates, and documentation for OE initiatives.
- Support logistics for Kaizens, improvement workshops, and OE-related reviews.
Requirements
EXPERIENCE:
- 13 years of relevant experience in Operational Excellence, Process Improvement, Business Operations, Project Coordination, or a similar analytical/coordination role
- Exposure to improvement initiatives such as Kaizen, Lean, process mapping, or structured problem-solving (hands-on or support role)
- Experience in preparing reports, presentations, and documentation for management or cross-functional teams
- Experience coordinating across departments and following up on action items and deliverables
Qualifications
- Diploma or Bachelor's Degree in Business, Engineering, Operations Management, Industrial Engineering, or a related discipline
- Basic knowledge of Operational Excellence, Lean, Continuous Improvement, or quality methodologies
- Proficiency in Microsoft Excel, PowerPoint, and Word (data tracking, analysis, and presentation preparation)
- Familiarity with basic data analysis, process mapping, or documentation standards is an advantage
