Job Description

Job Purpose

The Operations Executive will play a critical role inensuring the seamless flow of goods from the warehouse to our retail partners.This position involves managing the full order fulfillment cycle, maintainingaccurate data, and serving as the primary coordinator between sales, logistics,and our clients.

Key Responsibilities

1. Order Management & Documentation

  • PO & Invoice Processing: Accurately issue and process Purchase Orders (POs), Sales Orders, Delivery Orders (DO).
  • Discrepancy Resolution: Handle any billing or quantity discrepancies by coordinating with the warehouse and clients.
  • Account Records: Maintain up-to-date records of accounts receivable and payable related to operational transactions.

2. Logistics & Warehouse Coordination

  • Delivery Scheduling: Coordinate with the 3PL (third-party logistics) or internal fleet to ensure timely delivery of Jinmailang or other products to supermarkets (FairPrice, Sheng Siong, etc.).
  • Inventory Monitoring: Liaise with the warehouse to monitor stock levels, manage stock-in/stock-out records, and conduct monthly inventory reconciliation.
  • Return Management: Coordinate the process for damaged goods or product returns (returns/exchanges) from retail outlets.

3. Client & Stakeholder Liaison

  • Point of Contact: Act as the operational bridge between clients (retail buyers/store managers) and our internal sales team.
  • Submission of Documents: Ensure all necessary delivery documentation is uploaded to client portals (e.g., FairPrice/Cheers supplier portals) where required.

4. Data Maintenance & Reporting

  • Database Management: Maintain and update the master product list, pricing files, and client contact database.
  • Sales Reporting: Prepare weekly or monthly operation reports, including delivery fulfillment rates and inventory aging reports.

5. Office coordination & other works

  • Office Coordination: Manage general office administration, including supplies procurement and maintaining a professional workspace.
  • Ad-hoc Projects: Any other tasks assigned, such as preparation for trade fairs/exhibitions (e.g., China Fair) or sampling events.
