Job Description - Operations Executive
Position Overview
We are seeking a highly organized and detail-oriented Operations Executive to join our Events Company. The Operations Executive will play a key role in supporting the smooth execution of events, ensuring operational efficiency, and coordinating with internal teams, vendors, and clients. The ideal candidate is resourceful, proactive, and able to thrive in a fast-paced environment.
Key Responsibilities
- Assist in the planning, coordination, and execution of events from start to finish.
- Liaise with clients, suppliers, and vendors to ensure event requirements are met.
- Manage logistics including event setup, manpower scheduling, transportation, and equipment handling.
- Monitor event budgets, quotations, and cost control to ensure profitability.
- Prepare event documentation such as proposals, event orders, timelines, and reports.
- Ensure compliance with health, safety, and regulatory requirements during events.
- Handle on-site event operations, including troubleshooting and providing support to ensure smooth execution.
- Work closely with the sales, creative, and production teams to deliver events according to client expectations.
- Maintain inventory of event materials, props, and equipment.
- Conduct post-event evaluations and prepare reports for process improvement.
Job Requirements
- Strong organizational and project management skills with keen attention to detail.
- Excellent communication and interpersonal skills to liaise with multiple stakeholders.
- Ability to work independently and in a team under tight deadlines.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) knowledge of project/event management tools is a plus.
- Flexible and able to work irregular hours, including evenings, weekends, and public holidays, depending on event schedules.
- Positive attitude, problem-solving mindset, and able to handle stressful situations calmly.
