Officer, Ocean Import

Key Responsibilities

. Handle customer bookings, enquiries, and service requests, ensuring timely follow-up and resolution.

. Build and maintain good working relationships with customers to support their logistics requirements and service expectations.

. Escalate complex issues or exceptions to the Team Lead or Manager when required.

. Coordinate with agents, carriers, vendors, overseas offices, and customers to ensure smooth shipment execution.

. Process daily operational activities, including permit declarations, shipment documentation, delivery arrangements, and survey coordination.

. Ensure shipments are processed accurately and completed within established timelines.

. Update shipment details, freight costs, and operational information in Cargowise and other relevant systems.

. Prepare and send shipping documents, billing invoices, and pre-alerts to customers promptly.

. Support the preparation of operational reports and assist in monitoring shipment performance.

. Participate in process improvement and digitalization initiatives to enhance operational efficiency.

. Comply with company policies, procedures, and quality, safety, legal, and ethical requirements.

. Provide support and guidance to new team members when required.

Requirements

. Diploma or Degree in Logistics, Supply Chain Management, Business, or a related discipline.

. Minimum 2-3 years of experience in freight forwarding, logistics, or ocean freight operations.

. Basic knowledge of shipping documentation, customs permits, and freight processes.

. Experience using Cargowise or similar freight management systems is preferred.

. Good communication and coordination skills with the ability to work with multiple stakeholders.

. Detail-oriented, organized, and able to manage multiple tasks in a fast-paced environment.

. Proficient in Microsoft Office applications, particularly Excel and Outlook.
