Job Description

1. Manage post operations

Manage Post-Ops Executives to ensure tasks are completed on-time.

Ensure attendances / assessment results / payment of partnership fees / issue of certificates etc. as part of post-operations are completed, and invoices raised accurately.

Own and continuously improve Post-Ops SOPs and Work Instructions, aligned to funding agency requirements and adherence to all company policies.

Ensure all e-Attendances are tracked and monitored for non-compliance.

Ensure timely submissions of appeals and follow up closely with funding agencies.

Ensure timely processing of incoming email requests from internal/external stakeholders.

Ensure make-up classes are assigned and prepared within stipulated timeframe.

Ensure timely follow up of additional ad-hoc requests from corporate clients.

Ensure SOP/processes are complied with to meet funding agency audit requirements.

Manage and reduce complaints for digital operation lapses.

Facilitate monthly audits and review with funding agencies.

Ensure no major NC during both internal and regulatory audits.

2. Support product and services Improvements

Review performance of vendors as feedback to stakeholders for contract renewals.

Review feedback for operational improvements and product development.

Provide feedback to internal stakeholders on product and service offerings.

3. Support human resource, technology and/or finance operations

Assist financial budgeting process for Post-Ops activities.

Monitor manpower utilization and ensure manpower is correctly sized to workload.

Ensure staff competence and compliance to all SOPs and Work Instructions.

Drive cross-training efforts to ensure staff are multi-skilled and cross-deployable.

Implement corporate governance measures.

Manage subordinates professional and career development.

Manage Post-Ops recruitment and retention efforts.

Initiate continuous improvement and productivity projects within Post-Ops team.

Lead technology application for improvements to efficiency and innovation.

Collaborate and work together on joint projects with other Ops teams and/or Depts.

Provide monthly statistics and reporting to management.

4. Drive organizational performance

Define common goals, direction, and accountability within the Post-Ops team.

Conduct performance management and manpower planning for the Post-Ops team.

- Conduct manpower resource planning based on business and demand analyses.

- Manage the recruitment and selection of new staff.

- Develop staff through ongoing coaching, mentoring and career discussion.

Implement enterprise risk management, business continuity, governance regulations and mitigation plans in Post Ops.

Support establishment of organizational quality assurance philosophy and policies.

Achieve Post-Ops team targets within the financial budget allocated

5. Manage stakeholders

Evaluate stakeholder needs and priorities.

Establish long-term stakeholder relationships.

Requirements:

At least 5 to 10 years of relevant work experience, managing post-course operations in Training and Education.

Familiarity with funding agency's post-course requirements preferred.

Experience using Microsoft Power Platforms (Power Automate, PowerApps, Power BI) welcomed.

Experience implementing Lean concepts to improve productivity welcomed.
