Controls & Compliance Management
- Perform control testing, document results, and update outcomes in the Governance, Risk and Compliance (GRC) system.
- Conduct independent reviews of Line Managers Excessive Access reports and maintain proper audit evidence.
- Escalate delayed or outstanding reviews to Division Head to mitigate risks of unauthorized system access.
Financial Management & Budgeting
- Prepare annual operating expense budgets and year-end accrual plans.
- Develop monthly budget reports and update financial forecasts.
- Perform headcount reconciliation and monitor expenses including Staff Engagement Fund, training, travel, and transport.
- Review monthly forecasts and process accounts payable invoices, ensuring timely submission and approvals of parked vendor invoices.
People Administration
- Manage onboarding activities including IT setup, office access applications, and distribution list updates.
- Handle offboarding and internal transfers by coordinating asset returns, access termination, and role removals.
- Organize monthly people meetings, document minutes, and follow up on action items.
- Maintain accurate organization charts and resolve administrative matters promptly.
Procurement & Expense Tracking
- Create purchase requisitions for office supplies, IT equipment, and services.
- Perform goods receipt for delivered items and services.
- Track departmental expenses and ensure timely processing and approval of vendor invoices.
Fixed Assets & Inventory Management
- Maintain and update fixed asset registers and inventory listings.
- Coordinate asset write-offs and participate in annual verification exercises.
- Manage office supply inventory levels and maintain proper archival records.
- Coordinate annual recertification exercises and maintain the Business Role Matrix.
Business Continuity & Risk Management
- Act as Business Continuity Management (BCM) Champion.
- Support business impact analysis, Business Continuity Plan (BCP) documentation, awareness training, and call tree exercises.
Premises Management
- Serve as Business Unit administrator and primary contact for premises-related matters.
- Coordinate with Service Ambassadors to ensure proper office maintenance and facilities management.
- Monitor access reports to ensure only authorized personnel have office access.
