Primary Function
- Supports the Facilities Department in Maintenance Planning, SOE Expenses & Payment, and Vendor Management for Plant Facilities
Main Duties and Responsibilities
Maintenance Planning Support
- In charge of scheduling and tracking preventive & corrective maintenance tasks across equipment and facilities
- Ensure timely follow-ups and documentation of Preventive & Corrective Maintenance activities
SOE Expense Management
- Support in SOE Budget Planning and Expenses Tracking
- Monitor and report on Statement of Expense (SOE) spending to ensure alignment with budget forecasts
- Update on monthly SOE expenses and align with maintenance needs
- Collaborate with finance teams for accurate and timely expense reconciliation
Vendor Management
- Request and negotiate quotations (RFQ) from approved vendors for maintenance services and equipment
- Oversee service scheduling, monitor service quality, and ensure timely resolution of vendor-related issues
- Maintain healthy vendor pool and annual evaluation
Vendor Delivery &Work Completion
- Verify and validate completion of vendor parts delivery and maintenance work completion and support maintenance team to ensure compliance with technical standards and documentation protocols
- Responsible for Month end closing for Vendor's DO and Service Completion
Ariba System:Procurement & Payment
- Initiate purchase requisitions (PR), order approval (PO), and payment processing via the Ariba platform
- Seek RFA approval for RFQ
- Coordinate with procurement and finance teams to resolve system or invoice discrepancies
Inventory &Material Handling
- Receive and issue maintenance-related purchases and materials as per operational requirements
- Ensure accurate documentation and stock level updates in inventory management systems
Store & Administrative Support
- Maintain organized and up-to-date records of store inventory, tools, and consumables
- Support compliance with storage procedures, safety policies, and housekeeping standards
Qualification/Experience
- Diploma/Degree qualification preferably in Engineering Planning or Procurement discipline
- Relevant Computer Proficiency level required for using MS Teams, Excel, Powerpoint, Words etc. and Inventory Management Softwares
- Preferably more than 3 years related working experience in manufacturing and plant facilities maintenance environment
- Resourceful in problem solving and able to work overtime
