We have an exciting opportunity for an experienced Legal Secretary to work as part of a team, providing clerical support and administration to designated fee earners.
Principal duties will include:
Typing of all correspondence
- Copy typing
- Agreements
- Reviewing and amending
- Checking and proof reading
- Typing and amending lengthy, complex legal documents in an accurate and timely manner
- Creating of business related expense claim forms on behalf of their fee earners
- Assisting with the creation of new clients / matters on the Document Management (DM) system
General Administration
- Answering telephone and e-mail messages
- Assisting with conflict checks
- Taking and forwarding messages
- Creating and amending diary appointments
- Booking meeting rooms, equipment and catering
- Arranging conference calls
- Covering for absence
Other general office duties as and when required
Organising travel arrangements
- According to Employee Handbook guidelines
Database Management
- Adding partner and fee earner contacts and ensuring data is up to date to include accurate profiling of contacts
- Adding contacts to LinkedIn, if required
Filing and archiving
Billing
- Processing incoming invoices and payments
- Elite Practice Management System
- Analysing time reports
- Preparing draft bill to fee earner / finalising draft bill
- Reviewing for administration
- Sending chasers to client
- Assisting in yearly Annual Returns billings
The ideal candidate will have a good standard of education along with:
- 3+ years legal secretarial experience
- Excellent written and spoken English and Mandarin
- Well versed with desktop publishing programmes including: Microsoft Word, Excel, PowerPoint and Outlook
- Ability to type quickly and accurately
- Notarial knowledge would be an advantage but training will be provided
- Team oriented with a flexible approach to assisting colleagues
Conditions of work
- 40 hours per week with 60 minutes for lunch - standard working hours are 09:00 am to 6:00pm
