Job Summary:
We are seeking a proactive and detail-oriented intern to join our team as a Junior Project Engineer for our Automated Fare Collection (AFC) system project. In this role, you will assist the Project Manager in preparing tender documents and supporting the execution of various project tasks. You will gain hands-on experience in documentation management, sub-task delegation, and coordination of project activities, all while learning how large-scale AFC systems are structured and delivered. This internship will provide invaluable exposure to the tendering process and project execution in a high-tech transport environment.
Key Responsibilities:
- Assist in the preparation of tender documents, including gathering technical specifications, project scope, requirements, and cost estimates for AFC system components (e.g., gates, ticketing, clearing systems).
- Help draft, review, and organize technical proposals and documentation that align with customer specifications and contract requirements.
- Support the Project Manager in dividing the project into manageable sub-tasks, helping allocate resources, and setting timelines for each task.
- Assist in the tracking of project progress, ensuring that sub-tasks are completed on schedule and according to quality standards.
- Collaborate with internal teams (engineering, procurement, quality assurance) to gather necessary inputs and ensure that all sections of the tender documents are complete and accurate.
- Participate in project meetings to discuss the progress of tasks, document action items, and track any dependencies or risks.
- Help in organizing project files, maintaining version control for all tender and project documents using platforms such as SharePoint, Confluence, or Google Drive.
- Assist in preparing project timelines and milestone reports, ensuring all documentation aligns with the project's overall objectives.
- Support the coordination of tasks between cross-functional teams, ensuring smooth communication and workflow across departments.
- Contribute to the ongoing review and updating of tender documents and project plans to reflect any changes or updates during the project lifecycle.
Requirements:
- Strong interest in project management and the tendering process, with a keen desire to learn about the execution of large-scale AFC systems.
- Familiarity with project management tools such as Microsoft Word, Excel, Visio, or similar software.
- Basic understanding of system components (e.g., servers, databases, APIs, and AFC subsystems).
- Strong attention to detail with the ability to organize and format technical documentation clearly and logically.
- Ability to collaborate with different teams (technical, procurement, quality) to gather relevant information for tender preparation.
- Good understanding of time management and task prioritization, with the ability to manage multiple sub-tasks.
- Strong communication skills, both written and verbal, to effectively assist in document preparation and project coordination.
