Job Description

12 Month Contract

Location : CBD

Industry : Pharma (MNC)

Overall Responsibilities

Daily operational activities

  • To provide general Digital/IT administrative support to the assigned managers within the digital organization.
  • Manage events including raising of purchase order, submission of documentation and co-ordination of payment process using internal systems.
  • Effectively manage documentation, communications, reports and documents to support ease of retrieval and sharing of information within the admin team
  • Assists in team members onboarding and offboarding of the project team memebrs
  • Work with facility management team and ensure team memebrs and external staffs respect the office rules and process
  • Manage the project SharePoint sites for the team such as provisioning of access.
  • Secure office supplies for the project team
  • Manage the leave calendar of the project team and ensure it is up-to-date
  • Prepare communications related to proejct activites by working closely with the PMO team

Calendaring and logistics arrangement

  • Manage Head of Department appointment schedule and calendar by effective planning and scheduling of meetings, conferences, teleconferences/Zoom/Teams calls, travel plans, and expense reporting.
  • Support travel arrangements (e.g. hotel, air travel booking, ground transportation, visa application, etc.) and process expenses for Head of Department
  • Provide organization and administrative support for and during meetings (as required)
  • Assist in travel planing, prepare iternaries and support visa processing for the projec team members and vistors
  • Provide support on any ad-hoc assignments as required from time to time

Requirements

  • At least 5 years of working experience as secretary or admin assistant
  • 1 -2 years of working experience in supporting directors or senior managers in an MNC environment
  • Pleasing attitude and ability to work under pressure
  • Good experience in Microsoft office applications
  • Excellent planning, organising, co-ordination and follow- up skills
  • Previous experience working with IT/Project department
