Job Description

Job Scope / Key Responsibilities

1. Recruitment and Onboarding

  • Coordinate with department heads to identify manpower needs and prepare job descriptions.

  • Manage the recruitment process, including job postings, resume screening, interviews, and background checks.

  • Facilitate onboarding and orientation for new hires to ensure smooth integration into the organisation.

2. Employee Relations and Welfare

  • Serve as a point of contact for staff queries and concerns.

  • Assist in handling grievances, conflict resolution, and maintaining positive employee relations.

  • Support the implementation of staff engagement, recognition, and wellness initiatives.

  • Monitor staff morale and recommend improvements to enhance workplace satisfaction.

3. Performance Management and Training

  • Coordinate and support performance appraisal exercises and related documentation.

  • Track appraisal outcomes and assist in identifying staff development and training needs.

  • Liaise with training providers and organise staff development programmes in line with operational requirements.

4. Regulatory Compliance and HR Policies

  • Ensure HR practices comply with Singapore employment laws and relevant sector regulations (e.g. MOM, AIC).

  • Maintain accurate and up-to-date employee records while ensuring confidentiality of sensitive information.

  • Prepare and submit mandatory reports, returns, and surveys to regulatory agencies as required.

5. Benefits Administration

  • Oversee employee benefits administration, including insurance, leave management, and retirement schemes.

  • Provide assistance to staff on benefit eligibility, claims, and enrolment procedures.

6. HRIS and HR Administration

  • Maintain and update HRIS databases with employee information, leave, training, and performance records.

  • Draft employment contracts, appointment letters, confirmation letters, and other HR-related correspondence.

  • Assist in reviewing, implementing, and updating HR procedures, SOPs, and policy manuals.

7. Ad-hoc and Cross-Functional Support

  • Assist with board or committee meeting coordination and preparation of meeting documents, where required.

  • Support cross-departmental HR projects, staff events, audits, and compliance visits.

  • Perform any other duties as assigned by the Head of HR or senior management.
