Job Summary
The HR Executive is responsible for supporting the day-to-day human resources functions, including recruitment, onboarding, payroll coordination, employee records, attendance, leave administration, and compliance with company policies and employment regulations. The role also assists in fostering a positive work environment and ensuring smooth HR operations.
Key Responsibilities
- Manage the end-to-end recruitment process, including job postings, candidate screening, interview coordination, and onboarding.
- Prepare employment contracts, confirmation letters, and other HR-related documents.
- Maintain accurate employee records and update HR databases.
- Coordinate monthly payroll by verifying attendance, leave records, overtime, and other payroll-related information.
- Administer employee leave, attendance, and benefits.
- Handle work pass applications, renewals, and cancellations where applicable.
- Ensure compliance with company policies and local employment laws.
- Coordinate employee orientation, training, and engagement activities.
- Address employee queries regarding HR policies, payroll, leave, and benefits.
- Support performance appraisal and employee development processes.
- Prepare HR reports and maintain confidential personnel information.
- Assist with disciplinary matters, grievance handling, and exit procedures.
- Perform other HR and administrative duties assigned by management.
- Monitor HR-related operational expenses and identify opportunities for cost optimisation.
- Analyse recruitment costs, training expenses, and overall HR spending.
- Prepare cost reports and management summaries for decision-making.
- Maintain accurate records for budgeting, forecasting, and financial reporting.
- Ensure all HR and payroll documentation is accurate, organised, and audit-ready.
Requirements
- Diploma or Bachelor's Degree in Human Resources, Business Administration, or a related field.
- Minimum 2-4 years of HR experience
- Knowledge of employment legislation and HR best practices.
- Experience with payroll processing and HR systems is an advantage.
- Good interpersonal and communication skills.
- Strong organizational and time management abilities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Ability to handle confidential information with professionalism.
