Job Description

HR & Finance Executive

Responsibilities

Human Resource Functions

  • Manage the full spectrum of recruitment activities, including job postings, interview coordination, onboarding, and offboarding processes.
  • Prepare employment contracts, confirmation letters, and other HR-related documents.
  • Maintain employee records and ensure proper filing, confidentiality, and data accuracy.
  • Process monthly payroll, leave administration, attendance records, and staff claims.
  • Handle CPF submissions and ensure compliance with MOM regulations and the Employment Act.
  • Manage work pass applications, renewals, cancellations, and other related matters with the Ministry of Manpower (MOM).
  • Prepare and submit Auto-Inclusion Scheme (AIS) records to IRAS and ensure timely annual tax reporting.
  • Coordinate employee training programmers and support employee engagement initiatives.

Finance & Administrative Functions

  • Manage office administration and procurement of office supplies.
  • Liaise with external vendors, service providers, banks, and government agencies.
  • Coordinate freight bookings with forwarders and shipping agents for import and export shipments.
  • Verify and maintain shipping and import documents, including commercial invoices, packing lists, delivery orders, bills of lading, and import permits, ensuring accuracy and regulatory compliance.
  • Maintain proper filing and records of shipping and customs documentation.
  • Assist with invoice payments processing, staff claims reimbursement, petty cash management, and other administrative support duties.
  • Support company events and perform ad hoc duties as assigned.

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, Accounting, Finance, or a related discipline.
  • Minimum 3 - 5 years of relevant experience in HR, finance, and administration.
  • Familiarity with the Singapore Employment Act and MOM regulations.
  • Hands-on experience in payroll processing, HR administration, and work pass matters is preferred.
  • Knowledge of import procedures and shipping documentation will be an added advantage.
  • Proficient in Microsoft Office applications, particularly Microsoft Excel.
  • Good communication, organizational and multitasking skills.
  • Able to work independently and thrive in a fast-paced environment.
